    Messages in the Staff Portal

    Messages from your manager and from the Vendion system are collected in one place in the staff portal. No SMS threads, no confusion.


    Open messages:

    1. Log into the staff portal
    2. Click the Messages tab

    Three tabs in the inbox:

    Unread

    • Messages you haven't opened yet
    • Shown in bold with blue marker
    • The count appears as a number on the home tab

    Read

    • Messages you've already opened
    • Sorted newest to oldest

    Archive

    • Older messages (automatically moved after 30 days)
    • Kept for 1 year, then automatically deleted

    Different types of messages:

    Acknowledge a message:

    If a message requires acknowledgment (your manager can mark important messages this way):

    1. Open the message
    2. Read through
    3. Click Confirm read at the bottom
    4. Time and date are saved – manager sees you've read it

    Why acknowledgment? Used for safety info, new procedures and schedule changes where the manager needs to know everyone has seen the info.


    Reply to manager:

    If the Reply button is visible, you can send a direct response:

    1. Open the message
    2. Click Reply
    3. Write your response
    4. Send

    Your reply goes only to the manager (not to others who received the same message).


    Search and filter:

    • Search field at top – search by subject or content
    • Filter by type – only schedules, only manager messages, etc.
    • Filter by date – last week, last month

    Notifications:

    When a new message arrives:

    • Push notification (if you have the app) – click directly to message
    • Number on home tab – shows how many unread
    • Red dot on message icon – also in desktop browser
    • SMS – if manager chose SMS as delivery channel

    Disable notifications: Go to Profile → Notification settings.


    Tips:

    • Check messages daily – important schedule changes often come with short notice
    • Acknowledge quickly – manager needs to see you've read before moving on
    • Reply instead of calling – chat history stays, calls are forgotten
