The Platform
Vendion is a complete restaurant platform — POS, staff management, bookings, marketing, analytics and AI in one system. Instead of buying five separate systems that don't talk to each other, Vendion brings everything together on a shared foundation. Information flows automatically between parts: the waiter sees the guest's allergies, the schedule is based on sales, campaigns reach the right guests. All without you having to do anything.
Most POS providers sell just that — a POS. Vendion is an entire platform. POS, staff management, bookings, marketing, analytics and AI — in one system. That means you don't need to integrate with separate systems for bookings, scheduling or CRM. All data is shared automatically, and three AI agents help you, your staff and your guests in real time.
Vendion has six modules: Online Order (AI-powered ordering via QR), Booking (tables, events, resources), Staff (scheduling, payroll, tips), Analytics++ (real-time data, Menu Engineering), Marketing (guest profiles, campaigns, automations) and Integration (Fortnox, Visma, API). Plus Vendion Order — the POS with stationary register, mobile register, Express kiosk, KDS and card terminals. AI is always included at no extra cost.
No. Each module can be purchased separately. Many start with just the POS and add modules over time. But the magic happens when you run everything — because then all modules share data automatically. Vendion 360 gives you all modules at a discounted price.
Vendion is built for all types of restaurants: fine dining, bar and nightclub, cafe, fast food, seasonal restaurant and food truck. The system adapts to your business — a fine dining restaurant uses the floor map and bookings, a food truck runs mobile POS and Express. Same platform, different usage.
It means that POS, staff management, bookings, guest data, campaigns and analytics aren't separate programs linked together with integrations. Everything lives in the same system. When a guest books, the waiter sees it in the POS. When an order is registered, the staff's sales statistics update. When a campaign is sent, it's based on real POS data. Automatically.
Yes — and you can do it entirely on your own, without calling support. Vendion has a built-in kitchen ticket template editor where you design the layout per station: kitchen, bar, cold kitchen, dessert. Choose which fields to show (table, guest name, server, time, order type), size (small/medium/large), bold styling, category headers, and paper width (58 or 80 mm). A live preview updates pixel by pixel as you click. Each station can have its own template — the bar doesn't need the kitchen's layout. No other Swedish POS system offers this level of control over paper tickets.
Yes — this is the whole point of Vendion's kitchen ticket templates. Each destination (kitchen, bar, cold kitchen, dessert) points to its own template. The bar might only need table + drinks in large type, while the cold kitchen wants guest name, allergies, and bold styling on dishes. A template can be shared across multiple stations if the layout is the same, or be completely unique per station. And if an already-printed order is changed, a correction ticket is automatically sent (banner *** CORRECTION ***) to the right station — same for moved tables and voids. Everything happens via toggles with a live preview. No support needed.
Pricing & agreements
Vendion has two parts: POS stations (hardware + POS licence) and restaurant modules (software). POS station 1: SEK 1,290/month incl. register computer, receipt printer and control box. Additional POS stations: SEK 1,290/month. Modules: Online Order SEK 290, Booking SEK 790, Staff SEK 790, Analytics++ SEK 490, Marketing SEK 490, Integration SEK 190. Or Vendion 360: all 6 modules for SEK 2,490/month (save SEK 550).
Restaurant modules (Booking, Staff, Marketing, Analytics++, Online Order, Integration) never have a lock-in period — add, pause or cancel whenever you want. The only time a lock-in period may apply is when leasing hardware. Contact us and we'll tell you more about the different options.
No. No setup fee, no installation fee, no training fee. We set up the system, configure your menu, train your staff and help you get started — everything is included.
Vendion 360 includes Online Order, Booking, Personal, Analytics++, Marketing and Integration for SEK 2,490/month. POS stations cost SEK 1,290/month each and are charged separately. AI is included. No lock-in.
Absolutely. Start with what you need and add more when you want. Prices don't change — you only pay for what you use. And if you reach 3+ modules, we recommend Vendion 360.
Stationary terminal: SEK 390/month. Mobile terminal: SEK 490/month. Both integrated with the POS, with tipping on screen and swap warranty on faults.
SEK 0.89 per sent SMS. Used for booking confirmations, reminders, feedback and campaigns. Email campaigns are included at no extra cost.
Yes. Vendion Acquiring is included and built on Adyen — card terminal, Swish, online and soft POS in one platform. Transactions are charged per purchase based on your card mix; you get a clear quote. One combined payout, T+2 as standard.
Hardware
Each POS station includes: 15.6-inch aluminium register computer, receipt printer (Epson) and control box. Plus Vendion POS software with floor map, ticket routing, split payments and more. Premium hardware designed for the restaurant environment.
No, you have three options: Rent (simplest, incl. swap warranty — prices above). Buy (one-time investment, lower monthly cost — price via consultation). Own hardware (if you already have equipment, we help you get started — price via consultation). We adapt to you.
Everyone who rents hardware has a swap warranty. Something breaks? We send a replacement — you should never be without a POS. Call support and we'll sort it out.
Vendion POS runs in the browser, so in theory yes. But we recommend our professional register computer — it's built for the restaurant environment with a better screen, stability and durability. For mobile POS, tablets and phones work great.
A ticket printer prints order tickets in the kitchen, at the bar or at the dessert station. SEK 290/month per unit. With ticket routing, the right dishes are automatically sent to the right printer — the chef only sees their own tickets.
KDS (Kitchen Display System) replaces paper tickets with a digital screen in the kitchen. It shows orders with timers and colour coding (green, amber, red). The KDS software is included in Vendion POS — you just need a tablet or screen.
Modules
Vendion Order is the POS platform: stationary register with floor map and ticket routing, mobile POS (tablet/phone), Express kiosk for self-service, Online Order/ChatOrder via QR, KDS kitchen screens, integrated card terminals and acquiring agreements. All order channels gathered on one screen.
The guest scans a QR code at the table and orders through an AI-powered chat. "Something with fish, no nut allergy" — the AI filters the menu, suggests dishes and places the order. Straight to the kitchen. No app, no account, 30 seconds. Works in Swedish and English.
Express is a self-service kiosk where the guest orders and pays themselves — via a tablet at the counter or window. Visual menus with images, allergen filters, and three upsell steps (upgrade, extras, drink) that increase the average ticket by ~30%. Perfect for cafes, fast food and food trucks.
Scheduling with AI suggestions based on sales history, digital staff register (SKVFS-approved), mobile time clock, time reporting, payroll data with unsocial hours calculation (Visita/HRF), tip distribution based on hours worked, and export to Fortnox/Visma.
Online table booking (the guest books in 30 seconds — no app, no account), SMS lifecycle (confirmation, reminder, welcome, feedback), waitlist with automatic notification on cancellation, event booking, resource booking. Everything visible in the POS at check-in.
Automatic guest profiles built from POS data, bookings and waiter notes. Segments (e.g. "Regulars with 5+ visits"), auto-tagging with AI, SMS and email campaigns with AI-generated variants, and automations (welcome, "we miss you", feedback, birthday). The waiter sees guest info directly in the POS.
Real-time dashboard with sales, average ticket, food cost, staff cost. Menu Engineering (BCG matrix) shows which dishes make money — Stars, Plowhorses, Puzzles and Dogs. Period comparison, heatmap by hour/day of week, booking data and guest statistics. All based on data from every module — not just the POS.
A bundled licence (SEK 190/month) that gives access to all integrations and full REST API access. Currently: Fortnox and Visma eEkonomi. All future integrations are included at no extra cost. No per-integration fees.
Only if you want the direct connection. Payroll export as a PAXml file is included in Vendion Staff and read by every Swedish payroll system — that's enough for most. Vendion Integration gives you file-free transfer: payroll straight into Fortnox Lön, bookkeeping automatically, the staff register synced both ways — plus the ability to build your own API connections.
AI
Vendion has three specialised AI agents. AI Boss (48 tools) for the owner: sales reports, scheduling suggestions, campaign suggestions, menu analysis. AI Waiter (22 tools) for the staff: allergy warnings, wine matching, guest history, upselling suggestions. AI Guest (13 tools) for the guest: menu navigation, ordering via chat, allergen filtering.
No. AI Boss, AI Waiter and AI Guest are included at no extra cost with all POS stations and modules. Always.
No. Vendion's AI agents are purpose-built for restaurants and have direct access to all data in real time — your menu, your bookings, your sales, your staff, your guests. It's not ChatGPT with a restaurant prompt. It's three specialists that understand your business.
Yes. AI Boss analyses sales per hour and day, combines it with booking data, and suggests optimal staffing. "Fridays need 6 people. Tuesdays can manage with 4." Based on your restaurant's real data.
The waiter can ask AI Waiter directly in the POS: "Table 6 has a nut allergy — what can I suggest?" AI Waiter filters the menu, suggests nut-free dishes, recommends wine and warns about dishes to avoid. Perfect for new staff who don't know the entire menu by heart.
Yes. AI Guest understands Swedish and English. Tourists can order in English via the QR code: "Something with fish, no nuts please" — the AI filters, suggests and places the order. No language barrier.
Getting started
Often account access the same day. We set up the system, configure your menu and train your staff. Hardware is delivered within 2-3 business days. Many restaurants are live within a week.
The POS takes about 5 minutes to learn for new staff. Large touch buttons, visual categories, search function. The admin section (scheduling, bookings, marketing) takes a bit longer — but AI Boss helps you every step of the way.
Yes. We set up your menu with categories, prices, modifiers, allergens and images. We configure the floor map, ticket printers and terminals. And we test everything before you open. Included at no extra cost.
Book a demo and we'll show you the system live — tailored to your type of restaurant. 45 minutes via Google Meet. You'll see the POS, bookings, AI and analytics with real examples.
We help you with the transition. You can run both systems in parallel for a period if you want. We import your menu and help you get started smoothly.
Yes. You can order modules only — for example just Vendion Booking if you want table booking without switching POS systems. Or just Marketing for guest CRM and campaigns. You choose.
Technology & security
Vendion is cloud-based and needs an internet connection to run. That's why we've put enormous care into reliability — robust infrastructure, around-the-clock monitoring and our own operations. For maximum peace of mind we recommend a stable connection with 4G as backup.
All data is stored on servers within the EU (Sweden and Ireland). GDPR compliant. Your data belongs to you.
Yes. We use row-level security at the database level, encrypted communication (HTTPS) and modern authentication. Each restaurant can only see its own data.
Vendion SE 3.0 is manufacturer-declared and appears on the Swedish Tax Agency’s list of manufacturer-declared cash registers. The control unit and Z-reports are included in the POS station.
Continuously. We release updates on an ongoing basis — new features, improvements and bug fixes. You never need to do anything — updates happen automatically.
Yes. Each POS station, mobile device and admin user can be logged in simultaneously. Permissions are managed per role: owner, manager or staff.
Yes. Vendion is web-based and works on any device with a browser — tablet, phone, computer. Mobile POS, time clock and AI Boss all work on your phone.
