    Notifications and Your Own Data in the Portal

    Two things in the staff portal that are entirely yours: which notifications you get, and the right to see what is stored about you. Both live under Profil (profile).

    Where you control your notifications

    Scroll down to the Notiser (notifications) card on the Profile tab. It has two switches:

    • Push-notiser (push notifications) — schedule, shifts, absence decisions and more, in the app. On by default
    • E-post (email) — important messages alongside push. Off by default

    The change is saved as soon as you tap the switch.

    Push requires the app

    Push notifications only work in the Vendion app. If you use the portal in your phone browser there is no device to send to.

    The portal does not hide this. If you open the notification card in a browser it says that push requires the Vendion app, that your choice is saved but no push notifications can be sent, and that important messages are emailed instead.

    So you can still make the choice, for the app you might install tomorrow — but do not expect any push until the app is on your phone.

    Email as a complement

    The email switch is not a consent to be contacted. Important messages are emailed to you anyway when you do not have the app — otherwise they would not reach you at all.

    The switch controls whether you also want them alongside push. If you have the app and want both, turn it on. If you only want one channel, leave it off.

    What you are notified about

    You get a message when:

    • A new schedule is published
    • One of your shifts is changed or cancelled
    • An open shift is published
    • Your manager has answered your request for an open shift
    • A colleague offers you a shift, answers your offer, or your manager decides on a shift swap
    • Your manager has decided on your absence request
    • You have a contract to sign — plus reminders if you have not signed

    News from your manager can also be sent as SMS. Your manager chooses that per post, and it is not affected by the switches here.

    Which messages are emailed

    Not all notifications are equally important, and the email fallback is deliberately narrow so your inbox does not fill up.

    Emailed when you do not have the app — a published schedule, a changed or cancelled shift, your manager answer to your open-shift request, your manager decision on a shift swap, your manager decision on your absence request, and contracts to sign with their reminders.

    Sent only as push in the app — that a new open shift has been published, and when a colleague offers you a shift or answers your offer.

    If you only use the portal in a browser that means you have to look for open shifts and incoming swap offers yourself. Decisions find you; offers do not.

    Download your own data

    The Min data (GDPR) card on the Profile tab holds the Ladda ner min data (download my data) button.

    Under the GDPR you have the right to know what is stored about you. In Vendion you do not have to request it from anyone — you tap the button and the file downloads to your device.

    What the export contains:

    • Your personal details
    • Your schedule rows
    • Your clock entries
    • Your absence
    • Your holiday records
    • Your tip distributions
    • Your employment contracts

    Every export is logged for traceability, just like other actions on sensitive information.

    Correction and erasure

    The export is self-service. Getting something corrected or erased is not.

    Your employer is the data controller for information about you, so that request goes to them — not to Vendion, and not through a button in the portal. Your employer may in turn need to keep certain records for a period, for example for bookkeeping and the staff register. Check with them what applies.
