My Availability – Say When You Can Work
Instead of sending your wishes in a message you can mark directly in the portal which days you can work. Your manager sees it when the schedule is made.
Where to find it
- Tap Schema (schedule) at the bottom of the portal
- Scroll down to the Min tillgänglighet (my availability) card
The card shows one week at a time, with the week number and dates at the top. The arrows move forward and back.
Three modes per day
Each day has three buttons:
| Button | Means | Colour |
|---|---|---|
| Hela dagen (all day) | You can work at any time that day | Green |
| Del av dagen (part of the day) | You can work within a time window | Amber |
| Ledig (off) | You cannot work at all that day | Red |
If you choose Del av dagen, two fields appear: Från kl and Till kl (from and to what time). If you enter no times, 17:00–23:00 is used.
Under the date it says in plain words what you chose — available all day, can work 17:00–23:00, or off all day.
Your choice is saved as soon as you tap. There is no Save button.
A day you have not touched counts as available
If you have not tapped anything on a day it counts as available all day. That is the assumption throughout, and the reason is that no new employee should become unavailable by accident.
It means you only need to mark the exceptions — the days you cannot work, or can only work part of.
How far ahead you can plan
You can set availability eight weeks ahead. You cannot go back further than this week, and days that have already passed are greyed out and cannot be changed.
Eight weeks is deliberately more than the schedule normally covers. The point of the feature is to influence the next schedule, not to comment on one already published — so enter the exam, the trip or the regular training session in good time.
What your manager does with it
Your availability is visible to your manager when the schedule is made, and it is also used when Vendion suggests a schedule automatically.
But be clear with yourself: it is a wish, not a guarantee. Your manager can schedule you on a day you marked as off — nothing in the system prevents it, and you get no warning. If the day matters, say so as well.
Your availability does not affect Lediga pass (open shifts) either. An open shift on a day you marked as off still appears in the list, and you can request it if you changed your mind.
If something is not saved
Your choice is saved the second you tap. If it does not get through you get a red error message under the week picker — then it is not saved, whatever the button looks like.
If it says availability could not be loaded, that is the same thing the other way round: what you see is not necessarily what is in the system. Reload the page before you start tapping, or you risk overwriting something you already entered.
This is not a time-off request
Availability and absence are two different things:
- My availability – "this is what my weeks look like, try to avoid Wednesdays". Nobody applies, nobody approves.
- Absence (Tider ▸ Frånvaro) – holiday, sickness, childcare leave and other time off. Goes to your manager, gets a status and affects your pay.
If you are going to be genuinely away, marking the day as off here is not enough. Send an absence report.
