    Report Absence and Request Time Off

    All absence is reported in the same place in the staff portal: Tider ▸ Frånvaro (time, absence). Some types go through immediately, others go to your manager for approval.

    How to do it

    1. Tap Tider (time) at the bottom of the portal
    2. Choose the Frånvaro (absence) button above the list
    3. Tap Ny anmälan (new report)
    4. Choose Typ (type)
    5. Fill in Från (from) and Till (to)
    6. Write a Kommentar (comment) if you want — optional
    7. Tap the button at the bottom

    The button changes text depending on what you chose: Registrera frånvaro (register absence) for sickness and childcare leave, Skicka anmälan (send report) for everything else. Above the button it says in plain words what will happen.

    Choose the right type — it affects your pay

    There are eight types to choose from:

    If it is your child who is ill you must choose VAB, not Sjukdom. The difference is not cosmetic: sickness triggers a qualifying deduction and sick pay from your employer, while VAB is handled as an absence deduction. Apply separately to Försäkringskassan for any VAB benefit; reporting in Vendion is not an application for benefit. Choosing the wrong type makes your pay wrong, and so check the type when reporting. If you have already sent the wrong type, tell your manager, who can correct it.

    Sickness and VAB go through immediately

    You do not ask permission to fall ill. If you report Sjukdom or VAB the absence is registered at once with status Godkänd (approved) — it does not sit waiting for anyone.

    All other types get status Väntar (pending) and go to your manager.

    Remember that a report in the app does not replace getting in touch. Call or message as you normally would so the restaurant has time to cover the shift.

    Half day

    If you are away for only part of a day, put the same date in From and To. A checkbox then appears: Halv dag (half day). Tick it and enter Från kl and Till kl (from and to what time).

    This matters for pay — half a sick day reported as a whole day becomes a full day of absence in the payroll data. The box only appears when the absence covers a single day; a time span across several days means something different.

    Track your report and undo it

    Every report gets a status:

    • Väntar (pending) – your manager has not answered yet
    • Godkänd (approved) – done
    • Nekad (declined) – your manager said no
    • Återkallad (withdrawn) – you changed your mind

    As long as a request says Väntar, an Ångra (undo) button sits on the right of the row. Use it if you picked the wrong dates or no longer need the time off — then you do not have to ask your manager to delete it.

    If your manager wrote a reason it appears under the row as Svar från chefen (reply from your manager). That applies both when they approved and when they declined.

    Your holiday balance

    If your employer has entered holiday data, a card appears at the top of the Absence tab: Semesterdagar kvar (holiday days left), with the holiday year and a breakdown into earned, taken and saved days.

    The balance is also shown inside the request dialogue when you have chosen the Holiday type, so you can see straight away whether you have cover.

    If the card is missing entirely it means there is no holiday record for you — not that you have zero days. Ask your manager.

    If the "Ny anmälan" button is missing

    Your restaurant can choose not to accept absence reports through the app. The button is then gone and it says Anmälan sker utanför appen (reporting happens outside the app), with an explanation that you should report the way you have agreed.

    Your earlier reports remain and can be read as usual — only new ones are switched off.
