Put Your Schedule in Your Phone Calendar (iCal)
You can add your Vendion schedule to the calendar app you already use. Your shifts then appear alongside your other plans, and they follow along when your manager changes something — you never have to enter anything by hand.
Get your calendar link
- Log in to the staff portal at app.vendion.com
- Tap Profil (profile) at the bottom
- Scroll to Synka med kalender (sync with calendar) and tap the row
- Tap the copy button to the right of the link
If you are at a computer and want the schedule on your phone, the QR code is fastest: scan it with your phone camera and the link opens there.
The link is personal and contains a secret key. Anyone who has it can see your entire schedule, so do not post it anywhere and do not forward it.
Add to iPhone or iPad
- Open Settings on the phone
- Go to Calendar ▸ Accounts ▸ Add Account
- Choose Other ▸ Add Subscribed Calendar
- Paste the link and tap Next
- Give the calendar a name, for example "Work", and tap Save
The calendar now appears in the Calendar app and syncs to your other Apple devices if you use the same Apple ID.
Add to Google Calendar
- Open calendar.google.com in a browser (a subscription cannot be added in the mobile app)
- Click + next to Other calendars
- Choose From URL
- Paste the link and click Add calendar
Give it its own colour under the gear icon ▸ Settings and sharing so you can tell work from personal.
Add to Outlook
On the web: open the calendar, choose Add calendar ▸ Subscribe from web, paste the link, name it and confirm.
In the desktop app: go to the calendar view, choose Open Calendar ▸ From Internet, paste the link and confirm the subscription.
What is in the calendar
The feed contains the last 30 days and the next 90 days.
Each shift becomes an entry where the station is the title and the restaurant is the location. The description holds the break and any notes from your manager.
Only published and confirmed shifts are included. Your manager drafts are never visible, and a cancelled shift disappears from the calendar. That way you never plan around something that is not yet settled.
The feed contains no identity numbers and no pay information.
Replace the link if it has gone astray
If you shared the link by mistake, lost a phone or added the schedule on an old device:
- Go to Profil ▸ Synka med kalender
- Tap Generera ny URL (ogiltigförklarar den gamla) — generate a new URL, invalidating the old one
The old link stops working immediately. You then have to add the new one to your own calendar apps again — anything still pointing at the old link stops fetching.
Be aware of this: the link does not switch itself off when employment ends. It only stops when you replace it, or when your employer erases your personal data. If you are leaving and want to be certain, generate a new link before you log out for the last time and do not add it anywhere.
Your manager cannot see your calendar link. If you lose it you have to fetch it yourself in the portal.
When the calendar does not update
- How often the calendar fetches new data is decided by your calendar app, not by Vendion. If a new shift does not appear immediately it is almost always the app refresh interval. On iPhone you can choose the interval in the calendar account settings.
- The shift is not there at all – check that your manager has published it. Drafts are not included.
- The link stopped working – if you tapped "Generera ny URL" the old one is dead. Add the new one.
- Duplicate shifts – you have probably added the subscription twice, for example on both phone and computer with the same account. Remove one of them.
