Clock In and Out
The time clock is the shared screen in the restaurant. You enter your code and press what you mean – you never have to remember whether you are clocked in or not.
How to clock in and out
- Go to the Time clock. It lives at /staff/clock, and from the till you reach it through the menu under Kassa ▸ Stämpelklocka.
- Check that the restaurant name under the clock is right. In a chain this is the most common mistake – the wrong restaurant gives "Incorrect code" however correctly you type, and a few attempts in a row lock the code.
- Enter your code (4–6 digits) on the keypad.
- Press Stämpla in or Stämpla ut.
The button tells you which action you are taking. If you mean something other than what the state says – you press "Clock in" when you are already in – the system refuses instead of doing the opposite. You cannot accidentally clock yourself out by pressing the wrong thing.
Breaks
Above the keypad there is a toggle with Stämpla and Rast.
- Press Rast.
- Enter your code.
- Press Börja rast when you leave, and Avsluta rast when you are back.
After the break you are shown how long it was and how much break you have taken in total today. A registered break always takes precedence over the automatic break deduction – if you pressed Break, your actual time is what gets deducted. Read more in the article on breaks and break deduction.
What the screen shows
- A large clock with the current time. The time comes from the server, so it is right even if the tablet clock drifts – if the tablet is off you get a warning about it.
- Inloggade (N) – everyone currently clocked in. If the list cannot be fetched the screen says so plainly: do not punch again just because the list looks empty.
- On clock-in: today shift, if you have a published one – for example "Shift: Kitchen 17:00–22:00".
- On clock-out: your worked time as net time, that is after breaks. If it says "(after 30 min automatic break deduction)" it was the break rule, not you. This is the same figure payroll uses.
- No network connection appears at the top if the network is down. Punches cannot be registered then.
When punching does not work
- "Personal identity number missing on your staff card." The staff register requires an identity number by law, so clocking in is blocked until your manager fills it in. Clocking out still works.
- "You have a shift from … that was never clocked out." You are clocked in anyway, but your manager must fix the old shift under Personal ▸ Tider.
- If the old shift sits in a locked payroll period you cannot clock in at all until the manager unlocks the period and fixes the entry.
- "Incorrect code" – check the restaurant name under the clock before trying again. Too many attempts in a row lock the code.
With a personal login, change your code via the profile icon. If you only have a clock PIN, ask your manager to change it. It is personal – never share it, because it is what writes your name into the legally required staff register.
What happens to your hours afterwards
Your punch goes straight to your manager for approval. In the staff portal you see your own punches with a status:
- Aktiv (active) – you are clocked in, the shift is running
- Väntande (pending) – you have clocked out, your manager has not reviewed it yet
- Godkänd (approved) – approved and on its way to payroll
- Gästpass (guest shift) – a shift without employment, which does not count as your working time
- Makulerad (voided) or Avvisad (rejected) – the shift does not count
The monthly total excludes guest shifts, voided and rejected entries. It is not a payslip; hours and pay still need review before payroll.
If something is wrong – the wrong time, a missing shift – tell your manager. Corrections are made under Personal ▸ Tider, and both the original and the correction are kept in the staff register.
Punching from your own login
If your employer has turned on Stämpling i personalinlogg (staff-portal clocking) there is a punch card at the top of the staff portal with a single button: Stämpla in or Stämpla ut. Your employer chooses this under Personal ▸ Inställningar ▸ Tider. Clocking in may also require being on site and using a linked phone.
If location checks are enabled, allow location access and stay within the restaurant zone. If phone linking is required, use the Vendion app: enter your PIN at the till, choose Koppla min telefon, enter the six-digit pairing code under Hem ▸ Din telefon in the app and press Koppla. Follow the phone identification step at clock-in. Ask your manager for help if you have changed phones or cannot link yours.
If the card cannot read your state it says so and the button is blocked, instead of guessing and doing the wrong thing.
