    Update Your Profile

    In the staff portal, all your employment details are collected in one place. Some things you can update yourself; others must be done by the manager to ensure correct payroll and archiving.


    Open the profile:

    1. Log into the staff portal
    2. Click the Profile tab

    What you can change yourself:

    How to:

    1. Click the field you want to change
    2. Enter new value
    3. Possible verification (email/SMS code)
    4. Save

    What only the manager can change:

    Request change: Click the field (read-only) → Request change → send to manager with justification.


    What you see but can't change:

    • Vacation balance – automatically updated by system (earned, taken, saved)
    • Comp time balance – automatically updated
    • Salary history – previous payslips (last 7 years per Accounting Act)
    • Signed contracts – archive
    • Training certificates – document library

    Payslips:

    Under My Salary in profile:

    • Current month – preview (updated until payroll closes)
    • History – all previous payslips
    • Download as PDF – for bank applications and archive

    Each payslip shows:

    • Hours worked
    • Base salary
    • OB supplement
    • Tips
    • Overtime
    • Sick leave deduction
    • Vacation pay
    • Tax deduction
    • Net salary

    Employer certificate:

    Need proof of employment (e.g. for mortgage, rental contract)?

    1. Go to Profile → Employer Certificate
    2. Choose period (last year is common)
    3. Click Generate
    4. Certificate is created as PDF with:
      • Your name and personnummer
      • Restaurant's name and organization number
      • Employment type and rate
      • Income totals per month (last 12)
      • Manager's signature (digital)

    The certificate is valid immediately – banks and landlords accept it.


    Vacation balance in detail:

    Under Profile → Vacation you see:

    • Earned this year – 2.08 days/month per Swedish Vacation Act
    • Taken this year – approved vacation days
    • Saved from previous year – days you chose to save
    • Right to save – max 5 days per year per Vacation Act
    • Paid out – if you chose to receive vacation pay instead

    Example:

    Earned this year:     12.5 days
    Taken this year:      -5 days
    Saved from 2025:      +3 days
    --------------------
    Available now:        10.5 days
    

    Change PIN code:

    If you want to change your PIN (for time clock):

    1. Profile → PIN code
    2. Enter current PIN
    3. Enter new PIN (4–8 digits)
    4. Enter new PIN again for confirmation
    5. Click Change

    Remember: PIN is yours for the time clock at the restaurant. Don't share it with anyone. Forgot PIN? Ask manager to reset.


    GDPR – your personal data:

    Per GDPR you have the right to:

    • See your data (done here in profile)
    • Request correction of incorrect data
    • Request deletion (after ended employment + 7 years accounting requirement)
    • Data portability (export all your data)

    Use the GDPR Request button in profile.


    Tips:

    1. Keep contact info up to date – especially if you move or change number
    2. Verify bank account at employment start – first salary can be delayed if number is wrong
    3. Save payslips – download as PDF to own cloud storage
    4. Upload new training certificates – contact manager when you've taken a course (CPR, allergens, food hygiene)
