Open Shifts – Request a Shift You Are Not Scheduled For
Want to work more? In the staff portal you can see shifts your manager has published but not assigned to anyone, and send a request for them.
Where to find them
- Tap Schema (schedule) at the bottom of the portal
- Tap the Lediga pass (open shifts) button above the list
At the top it says how many open shifts are shown. Each row shows the day, the time and which shift it is — the shift name or station — with a colour marker on the left.
The list only contains published shifts that nobody is scheduled for, from today onwards. Cancelled shifts are not shown.
How to request a shift
Tap Önska pass (request shift) on the row. The button changes to Önskad (requested) and you get the confirmation that the request was sent.
That is all. You do not have to write a justification, and you can request several shifts.
You do not get the shift automatically. A request is exactly that — a request. Several colleagues can request the same shift, and it is your manager who decides who gets it.
Once your manager has given the shift to someone, every other request on that shift is automatically declined. If you suddenly see Avslaget without your manager saying anything, that is usually what happened — somebody else got there first.
The "Endast min roll" filter
In the top right there is a button called Endast min roll (only my role). When it is on you only see shifts that suit your staff group, plus shifts that do not require a particular role.
The filter is on from the start if you are linked to a staff group. The reason is simple: a shift that requires a role you do not have can only end in a rejection.
If you want to see everything anyway, tap the filter off. If there are shifts but none that match you, the list says so and tells you to turn the filter off to see them.
The three statuses
| Status | What it means |
|---|---|
| Önskad (requested) | Your request is with your manager. You can still undo it |
| Tilldelat (assigned) | Your manager gave you the shift. It is now in your schedule |
| Avslaget (declined) | Your manager said no. The shift cannot be requested again |
So a rejection does not disappear quietly — you can see that your manager has answered. That is also why you cannot tap Önska pass again on the same shift: you get one request per shift.
Undo a request. As long as the row says Önskad you simply tap the button again. It then shows a check mark, and tapping removes the request.
If your manager has already answered it cannot be undone.
Notifications
You get a notification when a new open shift is published and when your manager has answered your request.
There is a difference between the two. Your manager answer counts as an important message and is emailed to you even if you do not have the Vendion app. A new open shift being published is only sent as a push in the app — without the app you have to check the list yourself now and then.
You manage your notification channels under Profil ▸ Notiser.
Once you have the shift
An assigned shift becomes an ordinary shift in your schedule. That means it appears under Schema, comes along in the calendar link and may need to be confirmed like other published shifts.
If you suddenly cannot take the shift after all, the normal rules apply: offer it to a colleague under Passbyten, or report absence if you have fallen ill. You cannot hand an assigned shift back by undoing the request — that step has passed.
An open shift is not a shift swap
Two different things that are easy to mix up:
- Open shifts – nobody is scheduled. You request, your manager assigns.
- Shift swaps – the shift belongs to a colleague. They offer it to you personally.
If you want to get out of one of your shifts, use a shift swap, not this list.
