CCA Health Check and Kontrollbox Outage
Swedish cash register law (SKVFS 2014:9 §4 ch. 9§) states that a sale may not be completed if the control unit is unreachable. Therefore Vendion runs an automatic health check on your fiscal box before every payment.
What is the health check?
When a cashier logs into the POS – and every five minutes during a shift – Vendion pings your fiscal box to confirm it's responding. You never see the ping if everything is fine; it only becomes visible if something breaks.
What happens if the box doesn't respond?
You see a red banner at the top of the POS:
⚠️ Fiscal box unreachable — cannot take payment
At the same time the Pay button is disabled until the issue is resolved. You can still:
- Place orders and send to the kitchen
- Park tabs
- Take orders on mobile or via QR
The only thing blocked is finalizing payment (i.e. printing a receipt with the control code).
Why so strict?
The fiscal box signs every receipt with a cryptographic code. Without the signature the receipt is invalid in the Tax Agency's eyes. If you take payment without a signature, you can face fines and back-taxes. Vendion's block is a safeguard against unintentionally breaking the law.
How to resolve the outage:
-
On a failed payment a diagnostic dialog appears with two buttons (the status indicator in the POS is not clickable):
- Retry (pings the box now)
- Cancel (closes the dialog, keeps tabs parked)
-
Check physical basics:
- Is the box powered on? (Light should be on)
- Is the network cable plugged in? (LED on the ethernet port)
- Do you have internet right now? Test on another device.
-
Reboot the fiscal box:
- Unplug power for 10 seconds
- Plug back in
- Wait 30 seconds for the box to boot
- Tap Retry in the POS
-
If the problem persists:
- Open Admin → Devices
- Select the workstation
- Click the Fiscal Box tab – you'll see the registration status and the Koppla kontrollbox (connect control box) button
- If it still fails: call Vendion support (operator contacts AXENA if needed)
What happens to open orders?
Orders that were open when the outage started stay parked. No data is lost. When the box is back online:
- Banner disappears
- Pay button is re-enabled
- Open the tabs and continue where you were
Orders "stuck" during outage:
If a payment was started but the control unit couldn't sign the receipt:
- The order is automatically rolled back to status "open" and any payments are voided
- No half-finished or unsigned payment is left behind
- When the box is back online: open the tab and take payment again as usual
If the card was already charged but no receipt was printed:
- The system voids the payment automatically when the order is rolled back
- Check the card acquirer interface (Worldline/Adyen) that the charge was reversed
- If anything looks off: contact Vendion support and they'll help reconcile
How often is the box pinged?
| Occasion | Frequency |
|---|---|
| Login | Immediate |
| Before payment | Immediate |
| During shift | Every 5 minutes |
| Overnight (closed) | Every 5 minutes (around the clock) |
Preventive maintenance:
- Keep the box in a fixed location – don't move it (it can affect AXENA registration)
- Ensure vent grilles are dust-free – the box gets warm
- Draw a network map so you know where it sits when things break
- Have a backup router or LTE failover if your main router dies
Emergency: no internet, no box?
If internet is totally down:
- Take orders manually (on paper) – the POS requires a connection, so enter them in Vendion once internet is back
- Payment must wait until internet is back, or:
- Take cash without a signed receipt and log it as a fiscal incident (the system handles this automatically when you're back online)
- Guest can pay via Swish on their own phone; you print a receipt later (within 24h per the law)
Ask AI Boss: "Have we had any kontrollbox outages this month?" – AI Boss shows a list with timestamps, duration and whether action was needed.
