New salary from a date, pay revision and minimum wage
Categories and articles
Every salary in Vendion applies from a date. Pay is calculated day by day with the salary that applied on that day, also in a month that is not locked yet. If you raise the salary from 1 April, March is calculated with the old salary and April with the new one.
Changing the salary on the staff card
If you change the salary directly in the fields on the staff card, the new salary applies from today. If the person starts later, it applies from the first day of employment. Earlier days use the earlier salary.
To make the change apply from another date, forward or back, use Ny lön från ett datum (new salary from a date) below the salary fields:
- Open the staff card and the Anställning tab.
- Click Ny lön från ett datum.
- Choose Gäller från (effective from). The fields are filled in with the salary that applied on that day.
- Change salary, employment rate, working hours, pay group or experience and click Spara.
Under Lönen över tid (salary over time) you see every salary with its date. A salary entered by mistake is removed with Makulera (void). It stays in the history but is not used.
The button waits while you have unsaved changes in the salary fields above. Save or undo them first.
Pay group and experience
The Gröna agreement has minimum wages per pay group:
| Pay group | What |
|---|---|
| 1 | qualified work |
| 2 | work |
| 3 | youth wage (under 20, at most three years) |
After six years of experience a higher minimum applies in groups 1 and 2. Enter the experience in whole years on the day the salary applies from. Vendion counts it up by one year per year. Certain night staff have a 5.5 % higher hourly minimum.
Pay group and experience are also printed on the employment contract.
The minimum wage
If the restaurant has the Visita/HRF agreement, Vendion compares every salary with the Gröna agreement's minimum wage (2026: pay group 2 SEK 26,580 a month or SEK 153.64 an hour). The monthly salary is compared at full time. If someone is below, a warning shows:
- on the staff card,
- in the notification bell,
- on the payroll page (Löner).
Vendion never changes the salary. The warning is a reminder. Without a pay group, an adult is compared with pay group 2 without experience. Someone under 20 without a pay group is not assessed, since a youth wage may apply.
Pay revision for all staff
Go to Personal ▸ Personal ▸ Lönerevision. You need permission to change pay.
- Choose Gäller från. The default is 1 April, when the agreement's raise applies.
- Choose the raise:
- Gröna riksavtalet, generell höjning (general raise, 2026: SEK 5.40 an hour or SEK 935 a month),
- Gröna riksavtalet, garantibelopp (guarantee, 2026: SEK 2.16 or SEK 374; you distribute the local pot yourselves by entering each person's new salary),
- Egna belopp (your own amounts) or Procent (percent).
- Check the list. The Ny lön (new salary) column can be overwritten per person. The Kontroll column warns if the new salary is below the minimum wage.
- Untick anyone who should not have the raise and click Spara ny lön.
The monthly salary on the staff card is the full-time salary. A part-timer therefore gets the raise in proportion to their employment rate, as the agreement says.
If a person already has a later salary, for example an individual raise in June, it stays. The revision then applies up to that date. The list says so.
Retroactive pay
If a new salary applies back over a month that is already locked, the locked month is never recalculated. Instead Vendion calculates the difference and adds it as Retroaktiv lön (retroactive pay) in the payroll for the month after the latest locked one. It shows among the person's pay adjustments and is paid as a one-off amount.
- The same difference is never added twice.
- If the salary became lower back in time, Vendion does not claw back pay already paid. That requires the employee's consent. Set up a claim in that case.
- If the salary is voided, retroactive pay that is not locked yet is removed with it.
In Fortnox Lön and PAXml, retroactive pay uses the pay code Retroaktiv lön (Löner ▸ Lönekoder). If it is empty, the gross adjustment's pay code is used.
