Choose a Payroll System and Get Started

The Lönesystem (payroll system) tab under Personal ▸ Inställningar gathers everything that decides how your payroll is calculated and where it goes. At the top, Så sköter ni lönen (how you run payroll) has three rows: collective agreement, staff and payroll system. Each row has a button.

If nothing is chosen yet, the box Välj hur ni sköter lönen appears at the top of Personal ▸ Löner, and the step is in the getting-started guide.

    Collective agreement

Choose Visita/HRF (Gröna riksavtalet), No collective agreement or Another collective agreement. Before anything is saved, Vendion shows Det här ändras (what changes): every setting that affects pay, before and after. That covers unsocial-hours supplements, holiday pay (12.72 or 12%), overtime and additional hours, major holidays, minimum paid time per day, extra days off for public holidays, missed breaks, the sick-pay waiting deduction, saved holiday days and the minimum holiday pay per day.

Only when you press Byt och ställ in lönen are the agreement and all settings saved at once. Vendion never lowers a higher holiday percentage or a higher custom minimum, and your own unsocial-hours rules stay.

If you choose Another collective agreement, no pay rates change. Set them yourself under the Lön tab. Vendion Payroll can only calculate pay under the Gröna agreement or the law.

    Blue-collar and white-collar staff

Under Personal you mark each person as blue-collar (arbetare) or white-collar (tjänsteman). The staff type decides collective agreement, Fora and the bookkeeping account.

A company in Visita has two agreements: Gröna riksavtalet for blue-collar staff and the Visita–Unionen agreement for white-collar staff. The Tjänstemän setting under Personal ▸ Inställningar ▸ Lön decides how white-collar staff are calculated. Visita–Unionen is the default, and the collective agreement dialog sets it when you choose Visita/HRF. Restaurants without Visita/HRF got Lagens regler (the law's rules). With Visita–Unionen, Vendion Payroll calculates white-collar staff under the agreement:

    • Sick pay up to and including day 90 of the sick case (45 days in the first year of employment). From day 15, 90% of the pay is deducted per calendar day.
    • Parental pay after at least one year of employment, for two to six months depending on length of employment, from the start of the parental leave.
    • Overtime at the monthly salary / 94 next to working hours and / 72 otherwise. A started half hour counts.
    • Reduced working time (arbetstidsförkortning), 8 hours a year full-time in 2026 and 12 hours in 2027. The balance is on the staff record.
    • Leave of absence longer than five working days is deducted per calendar day.

This still stops a white-collar employee's pay in Vendion Payroll: a month with vacation (the agreement's same-salary rule with vacation supplement is not in the vacation book yet), an hourly paid white-collar employee and a change of staff type mid-year. The row says why. With Fortnox Payroll, PAXML or Visma Lön 600, white-collar staff work as usual.

    Payroll system

Four cards show who does what each month:

    In VendionIn the payroll system
Vendion PayrollEverything: time, payroll run, approval, payslipsYou upload the AGI at the Tax Agency, the Fora report and the bank file. Included in Personal
Fortnox Payroll (integration)Time, absence and staff. You press Skicka till Fortnox LönThe payroll run, payslips and AGI. Requires Fortnox Payroll and Vendion Integration (SEK 190/month)
PAXML fileTime and absence. You download the fileYou import the file. Staff are kept in both systems
Visma Lön 600 fileTime and absence. You download the Visma file (TLU)You or your bureau import it in Visma Lön 600

The choice applies to the whole company, meaning every restaurant with the same organisation number, from the pay paid out this month or next. Löner then shows only the right export. If you send the same month's pay two ways, for example a PAXML file after a transfer to Fortnox, Vendion warns you first.

The payroll system and the company are chosen by someone who is an admin in all of the company's restaurants.

    Getting started with Vendion Payroll

    1. Confirm the company. Vendion shows the company, the organisation number and the restaurants included. Payroll belongs to the company: the same organisation number means one payroll, and a person working at two of the company's restaurants gets one payslip. Type the organisation number and press Stämmer, bekräfta bolaget. Everyone with payroll access for all staff gets access to Vendion Payroll. If you cannot confirm yourselves, for example because the number is not verified yet, you send a request to Vendion.
    2. The move checklist. Staff and settings ready, opening holiday balances, pay already paid this year, a trial month, and a trial month compared with every difference explained.
    3. Activate. Choose the first pay in Vendion Payroll, type the organisation number again and accept the terms. Holiday is earned in the year before it is taken (förskjutet intjänandeår).

    Switching payroll system

You can switch in any direction, always from a payment month, with a checklist for that switch. When leaving Vendion Payroll you download a file with holiday balances and pay so far this year per person and enter it in the new system.

    History and undo

Every change is listed in the tab's history: who, when, before and after. The latest choice has Ändra tillbaka (change back).

These cannot be undone: a month Vendion Payroll has already paid, and a confirmed organisation number after pay has been paid in Vendion Payroll.
