Pay Already Sent – The Double Check Before a Second Export
Categories and articles
The same pay may only be paid and booked once. That is why Personal ▸ Löner asks before the month's pay goes out again. It applies when you send the pay to Fortnox, PAXML or Visma, or have not chosen a payroll system. With Vendion Payroll the pay is run in the payroll run, and there are no payroll files to send twice.
There are three questions. None of them stops you, but read them before you continue.
1. The pay has already gone another way
If the month's pay has already gone by another route, for example as a PAXML file, and you now send it to Fortnox Lön or as a Visma file, it says Lönen är redan skickad för månaden (the pay has already been sent for the month). The text says which route the pay went and on which day, and that two payroll systems can pay the same pay twice.
- Press Avbryt (cancel) if the pay has already been paid in the other system. The usual case is that you simply picked the wrong button.
- Press Skicka ändå (send anyway) only if you are changing payroll system and the first one is not used for the month.
The routes that count are the PAXML file, the transfer to Fortnox Lön and the Visma Lön 600 file. The CSV basis and the AGI and FORA reports do not count, because they pay nobody.
2. The same payroll file again
If you create the PAXML file or the Visma file again for the same period, it says Skapa lönefilen en gång till? (create the payroll file again?). The text says how many times the file has already been created and that the new file is marked OMEXPORT with a number in the file name. If it is imported without the previous payroll run first being reversed in the payroll system, staff get double hours and amounts.
Press Skapa omexport (create re-export) and the number only when you have reversed the previous import, or never imported it. The transfer to Fortnox Lön does not ask in the same way: a new transfer only sends what is missing, see Fortnox Payroll After the Transfer.
3. SIE voucher after the payroll file
When the payroll data has already been sent to a payroll system, Lönefilen är redan skickad för den här perioden. (the payroll file has already been sent for this period) is shown by SIE-fil — löneverifikat, and the button asks Skapa löneverifikat ändå? (create the payroll voucher anyway?). If the payroll system books the pay, as Fortnox Lön and Visma Lön do, the voucher becomes a double booking of the whole payroll cost.
Press Skapa ändå (create anyway) only if your payroll system does not book the pay itself. If unsure, check with your accountant. See Payroll Data – Calculate and Export, the section on PAXml or SIE.
Where exports are shown
All exports for the month are listed under Exporthistorik (export history) in the tab where the pay is sent, with format, time and who made it. That history is what the questions read.
