Bank File Status – Uploaded, the Bank's Answer and Paid

When you have downloaded the bank file in Vendion Payroll (see Vendion Payroll – How to Run Payroll), you can follow it all the way to paid pay. This is done under Mer (more) in the Betala och rapportera (pay and report) step, in the card Bankfilernas status (bank file status). The same card is at the bottom of the bank file window. None of it is needed for the payroll run to show Klar (done), but it keeps things in order when the bank rejects a payment or the pay needs changing.

You need the permission to edit payroll.

    What the card shows

Each bank file is shown as an attempt, newest first: Försök 1 · 8 betalningar · 182 400,00 kr (attempt 1, 9 payments), when the file was created and which day it is executed. On the right is the file's status, and below it a row per person with name, amount and status.

    StatusMeans
Skapad (inte uppladdad) (created, not uploaded)The file is downloaded but not marked as uploaded to the bank
Uppladdad i banken (uploaded to the bank)You have marked it uploaded, or the bank's answer has been imported
Mottagen av banken (received by the bank)The bank has received the file
Godkänd av banken (accepted by the bank)The bank has accepted the payment. That does not mean the pay is paid
Väntar hos banken (pending at the bank)The bank has not decided the payment yet
Avvisad av banken (rejected by the bank)The bank will not pay. The bank's code and reason are shown in red by the person
Delvis godkänd (partly accepted)Part of the file is accepted. See each person
Betald (paid)You have confirmed that the pay is paid
Makulerad (cancelled)The file stopped being valid before it was uploaded

    Mark uploaded

When you have uploaded the file in the internet bank, press Markera uppladdad (mark uploaded). The button is there as long as the file shows Skapad (inte uppladdad). If you import the bank's status report, the file is marked uploaded by itself.

Cancel a file that was never uploaded

If the file is wrong, or the pay is to be changed before it is paid, press Makulera… (cancel). Write why in the field Varför makuleras filen? Den får aldrig ha laddats upp i banken. (why is the file cancelled? It must never have been uploaded to the bank; at least three characters) and press Makulera. The people can then be included in a new attempt. Only a file that has not been uploaded can be cancelled.

If you press Ändra lönen (change the pay) while a file shows created, Vendion asks whether it is uploaded; if you answer no, the file is cancelled for you (see Change the Pay in Vendion Payroll).

    Import the bank's status report

The bank can give a status report for the payment file in the pain.002 format (version pain.002.001.03). Download it from the internet bank and choose the file in the field on the attempt. Vendion reads which file the report concerns, the file's status and the status and reason per payment, and shows the result in the card. Acceptance by the bank does not mean the pay is paid.

    • The report must concern exactly that attempt. If it concerns another file, Vendion says so.
    • The same report twice changes nothing, and an older report never overwrites a newer one.
    • If you have already confirmed a payment as paid, the bank never changes it.

    Confirm paid

When the pay shows on the debit advice or the bank statement, or the person has confirmed it, tick the people, choose Underlag (evidence: Debiteringsavi debit advice, Kontoutdrag bank statement or Egen bekräftelse own confirmation), optionally write a note and press Bekräfta betald (confirm paid) with the number. When all payments in the file are paid or rejected, the file shows Betald.

A file that is only downloaded cannot be confirmed as paid: mark it uploaded first. A rejected payment is never confirmed as paid.

When the bank has rejected someone

Press Ladda ner bankfil (download bank file) again. Vendion makes a new attempt with only those not already in a file that the bank has not rejected or that is cancelled. The others are listed under Inte med i filen (not in the file) with the reason. Fix the cause first, for example the bank account on the staff record.

Two warnings tell you if something looks double: when the bank has answered on a cancelled file, and when the same person is in two files the bank has not rejected. Then check in the internet bank that the pay is not paid twice.

    Bookkeeping under Mer

    • Bokföringen (bookkeeping) – whether the voucher has been sent to Fortnox or Hogia, with the voucher number, or that the company has no bookkeeping connection and downloads the voucher as an SIE file.
