Vendion Payroll – How to Run Payroll

Vendion Payroll is Vendion's own payroll system. It calculates the full pay in the same system as the schedule, the clock-ins and the POS: gross pay, tax, employer contributions, net pay and holiday pay. Payslips reach staff in the staff app.

Vendion switches Vendion Payroll on per company. Until then every payroll run is a trial (Prov): it is calculated and can be compared, but it is not paid out or filed.

    Before the first run

Under Personal ▸ Löner you find the card Redo för Vendion Lön (ready for Vendion Payroll). It lists what stops a payroll run if it is missing, for example personal identity numbers, tax tables, bank accounts and opening holiday balances. Fix those before the first run.

If the company paid salaries in another system earlier this year, enter them under Utbetalt tidigare i år (paid earlier this year). Otherwise the rows are stopped: tax on one-off amounts and the SEK 1,000 limit for employer contributions depend on the whole year's pay.

The payroll run in five steps

Personal ▸ Löner shows the month's payroll run in five steps:

    1. Underlag (basis) – hours, absence, unsocial-hours pay, sick pay, holiday, tips, benefits and adjustments are calculated from the schedule and clock-ins.
    2. Avvikelser (exceptions) – blockers and warnings per person. A blocker stops finalisation until it is fixed.
    3. Godkänn (approve) – review and attest the run. If the basis changes afterwards, review and attestation are reset and the run must be recalculated.
    4. Betala och rapportera (pay and report) – finalise the run and download the bank file, the AGI file, the Fora file and the voucher.
    5. Kvittenser (receipts) – mark the bank file as uploaded and paid once the bank confirms.

Finalising the run locks the pay period. A finalised run never changes: an error is fixed with a correction (rättelse), and pay that comes later is paid with an extra run (extrakörning).

What is deducted from net pay

    After tax, in this order:

    • the pay's own net deductions (for example the meal deduction),
    • wage garnishment under a decision from the Swedish Enforcement Authority (Kronofogden),
    • instalments on claims the employee has consented to.

Expenses and other reimbursements are always paid out.

    Payslips and bank file

Payslips are created when the run is finalised. Download all of them under Alla lönebesked; each employee sees their own in the staff app.

The bank file is a payment file (pain.001) that you upload in your bank's internet bank. Vendion never sends it itself.

This feature is part of Vendion Staff.
