    Discounts

    2 min read#12

Add a discount to a single item or the entire order. Discounts are capability-gated in Vendion – junior staff can apply preset discounts, but open discounts require a manager PIN to protect margin.

    Item discount:

    1. Click on an item in the cart
    2. Choose Discount
    3. Enter percentage (e.g. 10%) or fixed amount (e.g. 50 SEK)
    4. The discount is shown on the line and deducted from the line total

    Order discount:

    1. Click Discount in the quick buttons
    2. Choose a preset discount or enter a custom value
    3. The discount applies to the entire order and is shown above the total

    Preset vs open discounts (permissions):

    TypeWho can apply?
Preset (e.g. "Lunch 10%", "Staff 20%")All POS staff (by default)
Open (staff types a custom value)Only staff with permission, otherwise manager PIN
Item discountSame as order – preset or open

The POS automatically triggers the "Manager approval required" dialog if the signed-in user lacks the right permission.

    How the manager PIN works:

    1. A junior server tries to give a customer a 50% open discount
    2. The POS blocks the action and shows a dialog: "Manager approval required"
    3. A senior enters their PIN
    4. The discount is applied and both names are logged in the journal memory (server + approver)
    5. If no manager is available, the action can be cancelled

Where are permissions set? Admin → Staff → Roles → choose role → "Permissions" tab → POS section. There you tick "Open discount" for e.g. "Shift manager" but leave it unchecked for "Part-time staff".

Preset discounts are created in admin: See Create and Manage Discounts for how to configure the discount list, campaign codes and time limits.

Journaling: All discounts – preset or open – end up in the Z-report and the control-box journal. The Swedish Tax Authority can request a discount log during audits.

    Tips:

    • Set up clear presets ("Lunch 15%", "Staff 30%") so you avoid PIN approval 80% of the time
    • Use campaign codes for tracking – you then see in CRM who redeems them
    • Discounts affect food cost in Analytics – check the "Discount impact" report for margin effects

This feature is part of Vendion POS.
