Open price – items where the POS asks for the amount

Some things you sell have no fixed price. A hotel night varies by season, the dish of the day changes and EV charging is billed per kilowatt. For those, set the item up with open price – the POS then asks for the amount every time the item is sold.

Turn on open price:

1. Go to Menu → Products
2. Click the item (or + New item)
3. Under Price & VAT, turn on Open price
4. Click Save

When you turn it on, the price field locks and shows "Entered in the POS". You don't need to fill in a price at all.

How it works in the POS:

The item button shows Open price instead of an amount. When staff tap it, a number pad opens where they enter the price and press Add. The line lands on the bill just like any product and is sent to the kitchen and paid for as usual.

The Add button stays disabled until an amount has been entered – so the item can't accidentally be added for zero.

Same price merges, different prices become separate lines:

Sell two hotel nights at 1,630 SEK and you get one line with quantity 2. Sell another at 1,200 SEK and it becomes its own line. The bill therefore shows exactly what each unit cost.

VAT and accounting work as usual:

VAT comes from the item's product group, just like for every other product – it isn't affected by the price being open. So a hotel night is posted to the right account with the right VAT rate even though the amount varies.

Permission required:

Staff need the Change price manually permission to sell an open price item. Without it they get a manager PIN prompt every time.

If you have staff selling these items daily – a hotel reception, for example – give their permission group that right under Users → Permission groups. Otherwise every check-in becomes a PIN step.

Everything is logged:

Every entered amount lands in Control center → POS events with the item, the amount and who entered it. You can follow up afterwards.

Good to know:

• Open price can't be sold online. Turning it on automatically switches off and locks "Available online" – a guest can't set a price themselves. The item therefore doesn't appear in online ordering, the QR menu or the express kiosk.
• Can't be combined with variants. If the item has variants (glass/bottle, small/large) the price is already set per variant, so open price is disabled.
• The price isn't remembered. The number pad starts empty at every sale – that's intentional, since the amount should be an active choice.

Open price or open item – which should I use?

In short: if you sell the same thing repeatedly but at varying prices, use open price. For a one-off, use open item.
