Waitlist – How It Works

When fully booked, guests can join a queue instead of being turned away. The waitlist is a feature for table bookings – it does not exist for events or resource bookings.

Why table bookings only?

For events, we instead recommend promoting the next occurrence if one sells out. For resources, guests can pick another time or day in the booking view.

Enable waitlist (table booking):

1. Go to Booking → Settings → General Settings
2. Under Behavior, turn on Waitlist

How it works:

1. Guest tries to book online but no tables are available
2. Guest is offered to join the waitlist
3. The booking is created with status Waitlist and appears in the Waitlist tab of the Booking module
4. When a table frees up (e.g. through a cancellation), you go to the Waitlist tab, click Offer seat on the guest, pick a table and click Confirm booking
5. The booking becomes Confirmed and the guest receives a confirmation SMS

Waitlist in admin:

• Waiting guests are listed in the Waitlist tab with queue position, party size and how long they've waited
• Click Offer seat on a guest → pick a table → Confirm booking. The guest is promoted to Confirmed and gets a confirmation SMS
• Click the cross to remove a guest from the waitlist

Table-only – what do I do for events/resources?

• Event sold out: Display the "Next occurrence" page or add an extra occurrence in the Events settings
• Resource booked at desired time: The guest automatically sees other available slots the same day or other days

Tip: The waitlist is handled manually from the Waitlist tab – you decide who is offered a table and when. The system keeps the queue in order; you click Offer seat when a table opens up. Keep Confirmation SMS enabled so the promoted guest gets their confirmation right away.
