Users and Access

Under Settings → Restaurant → Users you manage who has access to the system.
Invite a new user:
- Click + Invite user
- Enter email address
- Select role (Boss or Staff)
- Click Send invitation
- The person receives an email with a login link
Roles:
| Role | Access |
|---|---|
| Boss | Full access: admin, POS, reports, settings, AI Boss |
| Staff | Limited: POS, KDS, waiter view. No admin access |
Manage existing users:
- Change role – Click on the user → select new role
- Pause account – Temporarily deactivate without deleting
- Activate – Reactivate a paused account
- Remove – Permanently remove access
Users vs Employees – important distinction:

| Requires email | Yes | No |
- A person can be both a user and an employee
- A waiter needs to be a user (to log in) AND an employee (for scheduling/payroll)
- An hourly worker who only needs to clock in only needs to be an employee (via Staff module)
Tips:
- Only give the Boss role to restaurant managers and owners
- Use the Staff role for all waiters and kitchen staff
- Pause accounts instead of deleting – it preserves history
- Regularly review who has access
