    Send Email From Your Own Domain

    A custom email domain gives your restaurant's emails a sender address that matches your brand. The optional setting is under Allmänt → E-post (General → Email). Without a custom domain, Vendion's default sender is used.

    Availability: This guide applies once Vendion has made domain connections available for your restaurant. If the Email tab is missing or the page says Vendion needs to activate or configure the connection, contact support. You do not need to change DNS before the connection is available.

    Before you begin

    You need a domain owned by your restaurant, access to its DNS settings and permission to manage the restaurant's settings in Vendion. A Gmail or Outlook address is not a custom domain.

    Vendion sends through its email provider Resend. You do not need your own Resend account or API keys. Connecting a domain does not create an inbox or move your regular email. Have an existing address ready for guest replies, such as kontakt@restaurangen.se.

    1. Choose your domain and email types

    1. Check that the correct restaurant is selected in Vendion.
    2. Open Allmänt → E-post.
    3. Enter Restaurangens domän (Restaurant domain), for example restaurangen.se. Do not include https://, www or an email address.
    4. Select one or both email types:

    Vendion uses separate subdomains, notiser and utskick, for the two email types. Login and account emails continue to come from Vendion.

    2. Enter the sender details

    • Avsändarnamn (Sender name): the name guests see, such as Bistro Example.
    • Adressen före @ (Address before @): for example email or nyheter. For marketing emails, nyheter becomes nyheter@utskick.restaurangen.se.
    • Svar skickas till (Replies go to): an existing inbox that you read. Guest replies are sent there.

    Review the suggested senders and press Visa DNS-inställningar (Show DNS settings). Your custom sender will not be used until you activate it in step 5.

    3. Add the DNS records

    Open DNS management with the provider that hosts your domain's DNS. This may be different from the company where you bought the domain. Ask whoever manages your domain for help if you do not have access.

    1. In Vendion, open DNS-inställningar och verifiering (DNS settings and verification) for the email type.
    2. Copy each Namn (Name) and Värde (Value), or use Kopiera alla instruktioner (Copy all instructions) if someone else will add the records.
    3. Create the records with the exact Typ (Type), Namn and Värde shown in Vendion. Include Prioritet (Priority) and TTL when shown.
    4. Follow the DMARC instructions. An existing valid policy may already cover the subdomain; do not create an extra record at the same name.
    5. If you selected both email types, add the records for both connections.

    DKIM signs emails. SPF identifies permitted senders. DMARC tells receiving email services how to handle emails that fail the domain's checks. Vendion checks all three before activation. Always use the values displayed for your own connection.

    Keep existing records for your website and regular email. Do not move the main domain's MX records to Vendion. Do not create multiple SPF or DMARC records at the same name; get help if a record already exists there.

    If you use GoDaddy

    Vendion displays full DNS names. GoDaddy normally uses the name without the domain suffix. If Vendion shows resend._domainkey.utskick.restaurangen.se and you are editing DNS for restaurangen.se, enter resend._domainkey.utskick as the name. Leave the record value unchanged. Check that the domain was not appended twice. See Resend's GoDaddy DNS guide for the name fields; Vendion shows your records in the Email tab, so you do not need to log in to Resend.

    4. Verify the connection and send a test

    1. Save the records with your DNS provider and return to Vendion.
    2. Press Kontrollera kopplingen (Check connection). DNS updates can take time. If records are still pending, check their spelling and values and try again later.
    3. When the status is Redo att aktiveras (Ready to activate), press Skicka testmejl (Send test email).
    4. The test goes only to your signed-in account's email address, shown on the page. Check your inbox, spam folder, sender name and sender address. Try replying and check that the reply reaches the correct inbox.

    If the previous check is too old, press Kontrollera kopplingen again before testing or activating. If you connected both email types, verify and test both.

    5. Activate the custom sender

    Press Aktivera egen avsändare (Activate custom sender) for the verified email type. Its status becomes Aktiv (Active). Activate each type separately if you want to use both.

    The campaign email builder shows the sender. Hantera avsändare (Manage sender) opens the settings if you have permission to change them. See Create a Campaign.

    Edit or return to the default sender

    Open Ändra avsändarnamn och svara-till (Change sender name and reply-to), make your changes and press Spara avsändare (Save sender). You can also change the address before @ here. Consider sending another test afterwards.

    Använd standardavsändare (Use default sender) turns off the custom sender for that email type while keeping the connection. Koppla bort domänen (Disconnect domain) removes the connection after confirmation. DNS records are not automatically removed from your provider. To change the domain name itself, disconnect the old domain and set up the new one.

    If an active domain has a confirmed DNS problem, bookings and notifications may use Vendion's default sender. Marketing emails stop when the active domain cannot be verified. Sending restrictions still apply when using the default sender.

    A verified domain does not guarantee inbox placement for every email. Guest unsubscribes and other sending restrictions still apply with a custom domain.
