Vacation Planning – Four Consecutive Weeks over the Summer
Categories and articles
You handle vacation requests and decisions under Frånvaro (Absence). Semesterplanering (vacation planning) shows the same vacation for everyone at once, so you can see whether the summer adds up and who still lacks their main vacation.
Where to find it
Personal ▸ Personal ▸ Semesterplanering. The tab is shown to those who may see absence: schedulers and people with payroll permission. Choose the year with the buttons at the top right. After 15 September the next year is shown.
What you see
- Four boxes: how many have four consecutive weeks, shorter leave, no vacation planned, and how many requests are waiting for your answer
- A timeline per person: green is approved vacation, dashed yellow is waiting for an answer, grey is parental leave
- The assessment on the right. Those who need action are listed first
The rule: four consecutive weeks
- With the Visita/HRF agreement: at least four consecutive weeks between 15 May and 15 September, unless otherwise agreed (Gröna riksavtalet § 17 mom 3)
- Without an agreement: at least four consecutive weeks during June–August (Annual Leave Act section 12)
Four weeks means 20 weekdays or 28 consecutive days within the period. Two requests with a weekend between them count as one leave. A request waiting for an answer counts as planned, but is marked.
Not assessed: hourly staff, anyone not active and anyone who starts or leaves during the period. The row says why.
Answers and consultation
- Answer at least two months before the leave (Annual Leave Act section 11). Pending vacation requests show in the notification bell as the deadline approaches.
- Consultation: if there is no union representative at the workplace, consult each employee directly about the main vacation (Gröna § 17 mom 2).
- The weekend before and after: anyone taking at least ten vacation days is entitled to leave the weekend before and the weekend after (Gröna § 17 mom 4).
Parental leave over the summer
With the Visita/HRF agreement: if you ask for it by 1 March, anyone wanting parental leave between 15 May and 15 September must apply by 15 March (Gröna § 17 mom 9). Otherwise the Parental Leave Act applies: notice two months before.
The notification bell reminds you to ask between 1 February and 1 March. In the planning, the row says when parental leave over the summer was requested after 15 March.
Reminders in the notification bell
From 1 March until the main vacation starts, the notification bell shows how many still lack four consecutive weeks. You can dismiss the item; it comes back if the situation changes for someone, for example when a new person is added.
