Time Bank – Plus and Minus Hours for Monthly Staff

The time bank is for monthly paid staff who sometimes work more and sometimes less than their ordinary hours. Instead of paying the extra hours as overtime, the difference is saved in a balance that you even out with time off or pay out.

How it is calculated: worked time + registered absence − expected time = the month's change. The change goes into the time bank when the pay for the month is locked. The monthly salary is paid as usual, and the person gets no weekly overtime or additional hours.

Example: Anna Andersson earns SEK 30,000 a month full time. In November 2026 her expected time is 168 hours (21 weekdays × 8 hours). She works 165 hours and has one vacation day of 8 hours. 165 + 8 − 168 = +5. When the November pay is locked, the time bank goes up by 5 hours, and the salary is still SEK 30,000.

Who can have a time bank

    • Only monthly paid staff. The option is not shown for hourly staff.
    • Not people with the staff type Tjänsteman (salaried) when the Tjänstemän (salaried staff) setting is Visita–Unionen. They have the agreement's own overtime rules.

No weekly overtime. For a person with the time bank on, no weekly overtime or additional hours are counted; the time goes into the time bank instead. A break that could not be taken is paid as before, since it is a separate compensation. The hours in the bank still count as overtime under the Working Hours Act, so the schedule's working-time warnings apply as usual.

With a collective agreement, a local agreement is required. If you follow Gröna riksavtalet (the HRF agreement), using a time bank requires a local agreement with HRF. Vendion reminds you of this but does not check it.

    Turning on the time bank

    1. Open the person under Personal › Personal and go to the Anställning (Employment) tab.
    2. Press Redigera (Edit) on the Arbetstid (Working time) card.
    3. Turn on Timbank (time bank).
    4. Choose Förväntad tid (expected time) and fill in the warning limits if you want them.
    5. Press Spara timbanken (save the time bank).

The time bank has its own save button and requires the edit-payroll permission. Without it you see the settings but cannot change them. The Arbetstid card then shows the row Timbank, for example På, vardagar i månaden, varnar över 40 h och under −20 h (on, weekdays in the month, warns above 40 h and below −20 h).

No past months are recalculated. The first month locked after you turned on the time bank becomes the first row. If the person has a balance from a previous system, enter it as an opening balance with Justera saldo (adjust balance, see below).

    Expected time: two ways

    OptionHow expected time is calculated
Vardagar i månaden (weekdays in the month)Monday to Friday in the month, times the weekly working time divided by five. Public holidays count as weekdays.
Samma timmar varje månad (same hours every month)The same number of hours every month. Enter the full-time hours under Timmar vid heltid (hours at full time), for example 173. They are scaled down by the employment rate.

If the employment starts or ends mid-month, only the part of the month the person was employed counts, in both modes.

Example: November 2026 has 21 weekdays. Full time at 40 hours a week gives 21 × 8 = 168 hours, and 75 % gives 126 hours. With Samma timmar varje månad and 173 hours at full time, someone working 80 % gets 138.4 hours.

What counts as worked time and absence

    • Worked time is the person's registered working time in the month, the same hours the pay is based on.
    • All registered absence counts as time fulfilled: vacation, sickness and other absence count with the day's scheduled hours, or with the weekly working time divided by five if the day has no schedule. A partial day counts with its share. A day with clocked time only counts the clocked time.

So a sick person gets their normal sick deduction but no minus in the time bank.

Time off against the time bank. There is no separate absence type for it. If the person takes a day off, do not register any absence: the day then counts as less time worked, and the balance drops when the month is locked. If you register the time off as absence, it counts as time fulfilled and the balance does not drop.

The balance changes when the pay is locked

The month's change goes into the time bank when the pay is locked, with Lås löneperioden (lock the pay period) under Personal › Löner › Översikt. With Vendion Lön the period is locked when the pay is approved.

Before that, you see the month's change on the person's row under Personal › Löner › Personal, for example Timbank +5 h · saldo 18 h (time bank +5 h, balance 18 h). The balance there is the one after the month.

If you unlock the month, the hours are reversed with a new row. If you lock again, only the difference is written. The balance therefore changes once per locked month, even if you correct and lock again.

    Viewing the balance

Open the person under Personal › Personal and go to the Tid och frånvaro (Time and absence) tab. Under Timbank in the Saldon (balances) card you see the balance in hours and the five most recent rows:

    RowWhat it means
Lönen för 2026-11 låstes (pay for 2026-11 locked)The month's change, plus or minus
Lönen för 2026-11 låstes upp (pay for 2026-11 unlocked)The month's change is reversed
Lönen för 2026-11 låstes om (pay for 2026-11 locked again)The difference when the month is locked again with changed hours
Uttag i pengar, lönen för 2026-12 (cash withdrawal, pay for 2026-12)Hours paid out, minus. If the month is unlocked they are returned with a plus row
Your own reasonAn adjustment someone made with Justera saldo

The time bank is a ledger: a change is written as a new row, never by erasing an old one. The card is shown when the time bank is on, and also after it has been turned off if rows remain.

    Warning limits

Under Varna över (warn above) and Varna under (warn below) you set when the balance turns red. The limits are only a warning. The balance keeps counting, nothing is blocked and nothing is paid out automatically.

    • Varna över: for example 40. Above 40 hours the balance turns red and the card shows Över gränsen 40 h (above the limit 40 h).
    • Varna under: enter the hours without a minus sign. 20 means the balance turns red below −20 hours, with the text Under gränsen −20 h (below the limit −20 h).
    • An empty field means no limit.

The same red marking appears on the person's row in Löner (payroll) and in the staff portal.

    Adjusting the balance

Press Justera saldo (adjust balance) in the Timbank card. Fill in Timmar (hours; type a minus before the number to reduce the balance) and Orsak (reason), at least three characters, and press Spara (save). The reason is visible to the employee.

Use it for an opening balance from a previous system, for example +12 h, balance from the previous system, and for corrections. A correction is made with a new adjustment.

You need the edit-payroll permission, and you cannot adjust your own time bank.

    Cash withdrawal

Plus hours can be paid out with the pay.

    1. Press Uttag i pengar (cash withdrawal) in the Timbank card.
    2. Timmar (hours): at most what is in the time bank.
    3. Lönemånad (pay month): the month whose pay the withdrawal is paid with. It must not be locked.
    4. Belopp (amount): pre-filled with the hours times the person's hourly rate, without any supplement. You can change the amount.
    5. Press Lägg på lönen (add to the pay).

The withdrawal becomes a pay adjustment in the chosen month with the text Timbank, uttag i pengar (2 h). It counts towards holiday pay, like other pay for work performed. The hours are deducted from the balance when that month's pay is locked.

Example: the hourly rate for a full-time monthly salary is the monthly salary divided by 173. For Anna Andersson's SEK 30,000 that is SEK 173.41 an hour, and a withdrawal of 2 hours is SEK 346.82.

Only hours already in the balance. A month's hours enter the time bank when that month is locked. Plus time from October can therefore be paid out at the earliest once October is locked, for example with the November pay. Withdrawals already on a pay that is not locked are subtracted from what can be withdrawn. If nothing is left, the Uttag i pengar button is greyed out.

Vendion never deducts anything from the pay for minus time. A deduction from pay requires the employee's consent (the Swedish Act on Employers' Right of Set-off).

    If you have the consent:

    1. Enter the deduction as an ordinary pay adjustment, a gross deduction, under Löne-justeringar (pay adjustments) on the person's Lön och skatt (Pay and tax) tab.
    2. Adjust the balance by the same hours with Justera saldo. If Anna has −6 hours and you deduct 6 hours from the pay, adjust by +6.

    When someone leaves

The time bank is not reset by itself. If the person has hours left when the employment ends, the pay for the last month shows a warning, for example Timbanken har 12 h kvar när anställningen slutar. Betala ut med Uttag i pengar. Ett avdrag för minustid kräver den anställdes medgivande. (The time bank has 12 h left when the employment ends. Pay out with cash withdrawal. A deduction for minus time requires the employee's consent.)

    • Plus hours you pay out with Uttag i pengar on the final pay.
    • Minus hours can be deducted from the final pay only with the employee's consent, as above.

    What the employee sees

    • Staff portal: the Din timbank (your time bank) card on Hem (Home) shows the balance and the latest row, also when the balance is negative. Outside a warning limit the balance turns red.
    • Payslip: if you run Vendion Lön, the time bank appears after the vacation section, for example Timbank: förändring +5,0 h, saldo 18,0 h (time bank: change +5.0 h, balance 18.0 h).

Fortnox Lön and the payroll file

The balance stays in Vendion and is not transferred to Fortnox Lön or the payroll file. A cash withdrawal goes with the pay like other pay adjustments.

    Frequently asked questions

How is it different from the comp time bank? The comp time bank saves overtime as time off, with the agreement's conversion. The time bank compares all time with the expected time, hour for hour, without supplements. The comp time bank is not affected by the time bank, see Compensatory Time Off (Comp Time).

What happens if I turn off the time bank? The balance and the rows remain, but new months are no longer added to the time bank and weekly overtime is counted as usual again.

Can an hourly paid person have a time bank? No. If a person switches to an hourly wage, the pay counts no time bank, and a remaining balance can be paid out with Uttag i pengar.
