    Tips and Card Payment

    3 min read#71

Tips are an important income source for servers. Vendion handles them simply and fairly – no manual math or extra cash book.

    How tips work with card:

The rule is simple: anything the guest pays over the tab total is registered as a tip.

    Example:

    • Tab: 540 SEK
    • Guest pays: 600 SEK by card
    • Tip: 60 SEK (saved automatically)

This applies both when the guest rounds up ("make it 600") and when they specify an exact tip ("add 50 SEK tip").

How is the tip entered on the terminal?

Option 1 – Guest self-entry on the card terminal: If your card terminal supports a tip prompt (most modern ones do) the terminal shows:

    "Add a tip? 5% · 10% · 15% · Custom · Skip"

The guest taps. The amount flows back to Vendion automatically via the terminal integration.

Option 2 – Server enters manually in the POS:

    1. Tap Pay
    2. Enter the total amount the guest wants to pay (e.g. 600 SEK for a 540 tab)
    3. Choose Card
    4. The difference (60 SEK) is registered as a tip automatically

    Receipt display:

The receipt always shows tips on a separate line:

    Tab 540.00 SEK
    Tip 60.00 SEK
    ------------------------
    Total 600.00 SEK (card)

This gives the guest transparency and is a bookkeeping requirement for tip income.

    Who gets the tip?

Tips are a pool tied to the terminal and the day. At end of shift (or when the manager runs Z-report) tips are distributed according to the rules you've set under Admin → Staff → Tip Distribution:

    Distribution modelHow it works
Server keeps own100% to the server who took the order
Even splitAll active servers get equal share
    Hours-basedDistributed proportional to hours worked
    Role-basedE.g. 70% servers, 20% bar, 10% kitchen
    Custom rowsOwner sets distribution manually

The tip report is available in the staff portal (each employee sees their own) and in Admin → Analytics.

    Tips and taxes:

    • Tips are income-tax liable for the recipient in Sweden
    • Vendion reports tips separately in the payroll export (SIE export to Fortnox/Visma)
    • VAT-wise: tips are VAT-free (not part of restaurant turnover)
    • The fiscal box signs tips as a separate line, not as part of total sales

    Tips on cash:

Cash tips have no automatic logic – the guest simply leaves change on the table. These can be logged manually under Admin → Staff → Cash Tips if you want to track them for tax purposes.

    Tips on Swish:

Swish works like cash – the guest pays an amount, and anything over the tab is registered as a tip automatically.

    Tips on split bills:

If a tab is split 3 ways, tips are per split payment:

    • Person A pays 180 + 20 tip → 20 goes to pool
    • Person B pays 180 + 30 tip → 30 goes to pool
    • Person C pays 180 → 0 tip
    • Total 50 SEK tip for that order

Ask AI Boss: "How much tip did Anna get last week?" – AI Boss calculates her share based on your distribution model.

Ask AI Boss: "What's our average tip percentage?" – AI Boss responds with weekly average, typically 5–12%.

This feature is part of Vendion POS.
