Event and Resource Bookings in the POS

    3 min read#25

View and manage event and resource bookings directly in the POS booking view. Because all three booking types live in the same system, staff see them in a unified view – but with clear labels showing the type.

Where it's shown: Event and resource bookings appear in the POS booking view alongside regular table bookings. Each booking has a color-coded label:

    TypeLabelDetails shown
Table booking"Table" (blue)Table number, party size
Event booking"Event: {name}" (purple)Event name, start time, party size
    Resource booking"Resource: {name}" (green)Resource name, slot time (start–end)

Filter by type: In the booking view you can filter by:

    • All bookings (default)
    • Table bookings
    • Event bookings
    • Resource bookings

The filter is saved per session and is useful when, for example, you want to see "all of tonight's event guests" separately from regular service.

    Manage event bookings:

    • Click the booking – the detail panel opens
    • You see: event name, start/end time, party size, special requests, allergens, price per person, manage link
    • Change status (confirmed, seated, completed, no-show) just like for table bookings
    • Contact the guest via SMS directly in the detail panel
    • If the event requires a table, the assigned table is also shown

    Manage resource bookings:

    • Click the booking – the detail panel opens
    • You see: resource name, resource type, slot time (e.g. 2pm–4pm), party size, price per slot, manage link
    • Change status (confirmed, seated, completed, no-show)
    • Extend or shorten time via "Change slot time" (this is planned – for now the guest must cancel and rebook)
    • Block equipment in advance (e.g. "Bowling shoes size 42 not available today") via internal note

Same workflow: Event and resource bookings follow the exact same lifecycle as table bookings:

    1. Booking comes in → status: Confirmed (or Pending)
    2. Guest arrives → Click "Guest has arrived" → status: Seated
    3. Visit ends → Click "Guest left / Done" → status: Completed
    4. No-show → Click "No-show" if the guest doesn't arrive

Link to order: For both event and resource bookings, you can click "Go to order" to create a POS order linked to the booking. Useful for:

    • Events where the guest orders food/drink beyond the ticket price
    • Resources where food is included (e.g. private room with dinner)
    • Bowling/karaoke where the guest wants snacks during the game

From POS to admin: All changes in the POS sync immediately with the admin calendar and the system's change log. If an event occurrence becomes fully booked via POS bookings, it's automatically closed for new online bookings.

    Current limitations:

    • Walk-ins are supported only for table bookings – to register a spontaneous event guest, create a manual event booking in admin
    • Manual slot-time adjustment for resources is planned but not yet live

    Tips:

    • Use the "Event bookings" filter to get a quick overview of tonight's event guests
    • Use the "Resource bookings" filter at opening to plan preparations (bowling lane, karaoke room)
    • Open the detail panel before the event starts – that's where you see special requests and allergens that may affect preparations
