    Getting Started with AI Boss

    AI Boss is your smartest coworker – it has read the entire menu, knows the economics, and remembers every guest. It can do in seconds what otherwise takes an hour in Excel. Here's how to get started.

    Step 1: Open AI Boss

    1. Log into Vendion admin (app.vendion.com)
    2. AI Boss opens automatically when you click Admin – it's the home screen
    3. See the large chat box in the middle
    4. You have direct access – just type your question

    Alternative: You can also reach AI Boss via voice by tapping the microphone icon. Great when your hands are busy.

    Step 2: Your first question

    If you're brand new, try a simple question to see how it feels:

    "What's today's revenue?"

    AI Boss replies within a second with something like:

    "The day's going well! 10,869 SEK from 25 orders. Compared to yesterday (same time) you're up 12%. Strong on the drinks today!"

    Notice the reply includes:

    • Number: the total
    • Context: order count
    • Comparison: vs. yesterday
    • Comment: what stands out

    That's the AI Boss style: short, concrete answers with an insight thrown in.

    Step 3: Try more question types

    AI Boss handles five main categories of questions. Try one from each:

    Analysis and reports

    • "Which dishes sell the most this week?"
    • "How much does staff cost this month?"
    • "What's our margin on drinks?"
    • "Add Béarnaise sauce for 25 SEK under Add-ons"
    • "Raise the price of Sirloin to 299 SEK"
    • "Remove Caesar Salad from the menu" (AI asks for confirmation first)

    Bookings and guests

    • "Who has booked today?"
    • "Book a table for 4 tomorrow 7 PM for Andersson"
    • "Who is Andersson and what does he usually order?"

    Marketing

    • "Send 10% discount to everyone who hasn't visited in 60 days"
    • "How did my last campaign perform?"

    Staff and schedule

    • "Who's working on Friday?"
    • "Suggest a schedule for next week"
    • "Who's close to overtime?"

    Step 4: Confirmation for important actions

    AI Boss is careful with destructive actions. If you say "Remove Pizza Margherita", AI first asks:

    "Do you really want to remove Pizza Margherita from the menu? This can't be undone. Yes or no?"

    Type "Yes" or "OK" to confirm. This protects against typos and misunderstandings.

    Step 5: Multi-step workflows

    AI Boss is best when you give it bigger tasks. Instead of clicking through 5 menus, you can say:

    "Send discount code WINTER15 for 15% to all my VIP customers who haven't visited in 90 days. SMS, not email."

    AI Boss breaks it down:

    1. Filter customers (VIP tag, days_since_visit > 90)
    2. Create campaign with code WINTER15
    3. Show you the count before sending
    4. Confirm with you
    5. Send SMS

    You get a preview before it sends: "Found 43 customers. The message will cost 38 SEK in SMS. Send now?"

    Step 6: Cancel or adjust

    If AI is heading in the wrong direction – just say stop. Example:

    You: "Create a new campaign" AI: "Do you want to send it to VIP customers, new guests, or everyone who hasn't visited in 30 days?" You: "Wait, let's talk about this tomorrow. Cancel." AI: "Okay, nothing sent. Get back to me when you're ready!"

    Tips for good AI conversations

    1. Be specific with numbers. Say "149 SEK" instead of "about 150". AI is precise.

    2. Spell names as in the system. If your customer is "Anders Andersson", say that. If you say "Anders A." she still finds them – but faster with full name.

    3. Never confirm without reading. AI summarizes what she'll do before doing it. Read the summary and confirm only if it's right.

    4. Answer short. You don't need to be polite. "Yes", "No", "Continue", "Cancel" suffices.

    5. New questions get fresh context. Every new chat starts over – AI doesn't remember yesterday's question. To reference: "Same thing I asked about last week – but show Monday instead of Sunday".

    When AI Boss becomes great

    After 1–2 weeks of use you'll notice AI Boss's real strength: proactive insights.

    Instead of you asking about sales, she pops up on her own:

    • "Hi Mikael – Friday and Saturday looked strong (12% above average). Sunday weak (−8%). Maybe something to think about for next Sunday?"

    That's when AI Boss goes from tool to coworker.

    Q: Are my conversations stored? A: Yes, so you can go back. You can delete them in settings.

    Q: Does AI understand dialects? A: Yes, she handles regional accents. If she misunderstands – just say it differently.

    Q: Can I speak my questions? A: Yes, mic button. Works well even in kitchen noise.

    Q: Does it cost extra? A: No, AI is included in all Vendion plans.
