    Create a Custom Automation

    3 min read#13

Build a custom automation. Automations are created and edited on a dedicated page (not in a popup) with a step flow — the same pattern as campaigns:

    Trigger → Channel → AI draft → SMS → Mail → Audience → Activate

The SMS and Mail steps appear based on your channel choice. The step circles at the top show where you are — when editing an existing automation the circles are clickable so you can jump straight between steps.

Open: Go to Marketing → Automations and click New Automation in the top right. (Edit on an existing card opens the same page with everything pre-filled.)

    The steps in order:

    1. Trigger — choose what fires the automation:
      • Event: First visit, Visit completed, No-show, Tag added, Event booking created, Resource booking created, Loyalty points earned, Upgraded to new tier, Gift card issued (to the sender), Stamp card — guest joined, Stamp card — 1 stamp left, Stamp card full — reward ready. For events you also set a delay as a free number in minutes, hours, or days (unit selector).
      • Schedule: Build the schedule with weekday buttons and a time (e.g. Mondays at 10:00). The condition is structured: "Everyone in the audience" or the win-back combination (at least 60 days since last visit and at least 3 visits).
      • Date field: Birthday + number of days before and time. Requires the birthday to be filled in manually on the guest card — when you select the trigger, the editor shows how many of your guests have a birthday on file.
    2. Channel — SMS only, email only, or SMS + email (both). With "both", the guest receives the message in both channels; SMS is billed per SMS part, email is free. If the guest lacks one contact detail, the other channel still sends.
    3. AI draft — let the AI write a first draft of the messages, or skip and write your own.
    4. SMS (shown when SMS is part of the channel choice) — write the SMS text with variables: {name}, {restaurant}, and {booking_link} are always available, and trigger-specific variables like {nivå} (the guest's new loyalty tier), {nivåförmåner} (the tier's perks), and {minasidor} (link to the guest's My Pages) appear as buttons when the trigger has them — these are the product's actual Swedish variable strings, so type them exactly as shown. AI suggestions offer text in three tones: Friendly, Exclusive, and Urgent.
    5. Mail (shown when email is part of the channel choice) — write the subject line and email text the same way.
    6. Audience (optional) — limit to a segment and/or require a tag ("Also require tag"). If you pick both a segment and tags, the guest must match both. The audience is a restriction on who receives the send — the automation sends to the guest who triggers it.
    7. Activate — review the summary of the whole automation and set the Active toggle: "Active — starts sending when the conditions are met" or "Inactive — saved without sending".

    Protection mechanisms:

    • Cooldown: Max 1 send per automation and guest per 30 days
    • Weekly limit: Max 2 send occasions per guest per rolling 7 days — one occasion = one automation (a "both" send with SMS + email counts as ONE occasion)
    • Consent per channel: Unsubscribed guests are skipped entirely; guests who declined SMS or email consent are skipped in that channel
    • Contact requirement: Guests without contact info for the channel are skipped
