    Bulk Tagging

    Bulk tagging is the tool for when you want to put the same tag on many guests at once. Instead of opening each guest profile and adding "VIP" manually — 200 clicks — you do it in 5 seconds by filtering, selecting, choosing a tag, and confirming.

    When do you need bulk tagging?

    • After an event: tag everyone who booked "Midsummer 2026" as "Event guest"
    • Corporate deal: search company name in notes, tag everyone as "Scania AB client"
    • Clean up old tags: remove outdated campaign tags from all guests at once
    • Seasonal: after summer tag all summer guests as "Summer 2026"
    • Retroactive tagging: if you forgot to tag earlier but want to now
    • Cleanup: move guests from the wrong tag to the right tag after restructuring

    Step by step:

    1. Go to Marketing → Guests
    2. Filter to find your target group (this is the key — see section below)
    3. Select guests with the checkboxes on the left of the list
      • The checkbox at the top selects all visible guests
      • You can deselect individual ones after selecting all
    4. Click "Tag" in the toolbar that appears
    5. Choose tags to add or remove (you can do both at once)
    6. Confirm — tags save instantly on all selected guests

    Filter first — this is the gold

    Bulk tagging without filters rarely makes sense. The real power is combining search filters with bulk tagging:

    Example 1: Tag all corporate clients

    • Filter: Notes contain "AB" or "corporate"
    • Select all → Tag "Corporate"

    Example 2: Tag everyone who came for the Cookbook event

    • Filter: Event attendance = "Cookbook 2026"
    • Select all → Tag "Event: Cookbook 2026"

    Example 3: Remove old campaign tag from those who no longer fit

    • Filter: Has tag "Wine Tasting Spring 2025" AND last visit > 12 months
    • Select all → Remove tag "Wine Tasting Spring 2025"

    Example 4: Tag all regulars who are also wine lovers

    • Filter: Auto-tag "Regular" AND manual tag "Wine lover"
    • Select all → Tag "Premium regular" (if you want a combined segment tag)

    Combine with segments

    The most powerful use: create a segment first, open its members in the Guests view, bulk tag them.

    1. Create segment "VIP guests who haven't visited in 90 days" (filter: auto-tag VIP + last visit > 90 days)
    2. Open segment → "Show members"
    3. Click "Open in Guest Registry"
    4. Select all → Tag "Win-back priority"
    5. Use the new tag in your win-back campaign

    Adding vs removing tags

    The dialog has two columns:

    Add tagsRemove tags
    Puts the tag on everyone who DOESN'T already have itRemoves the tag from everyone who has it
    Those who already have it are unaffected (no double)Those who don't have it are unaffected

    You can do both in the same operation — e.g. "Remove 'Summer 2025'" and "Add 'Summer 2026'" at the same time on 800 guests.

    Performance and limits

    • Max 500 guests at a time — the system limits this to avoid overload. If your target is larger, run in batches.
    • No undo button — once you confirm, the change is saved. Double-check the list before hitting!
    • Logging — the system marks each add/remove as "bulk tagging" so you can trace who did what when (visible in the guest profile's tag history).

    Common real-world use cases

    1. After a big event night Select everyone who booked the specific event, tag them as "Event guest" + event-specific name. Used later for invites to the next event.

    2. Starting a corporate deal New deal with Ericsson? Tag all employees who booked under the company name as "Ericsson client" — now they can get automatic discounts.

    3. Seasonal segmentation After summer: tag all guests who visited June-August as "Summer guest 2026". Next year you can send a "See you again this summer?" campaign.

    4. Quality control Your staff tagged sloppily — 50 guests have both "Wine lover" and "Wine". Filter on both, bulk remove "Wine" (the duplicate).

    5. Imported list After getting a list of Ericsson employees from the corporate contact: manually create them or match via phone, then filter on them, bulk tag "Ericsson".

    Tips for safe bulk tagging

    1. Count first — before you click "Tag", check how many will be affected. The list shows selected count.
    2. Test with 5 guests — the first time, select just 5, apply the tag, open their profiles and verify it worked.
    3. Avoid mass deletions — you can delete hundreds of tags with one click, and it can't be undone.
    4. Use descriptive tag names — "Event: Cookbook 2026" > "Event" (makes cleanup easier later).
    5. Log large operations — if you bulk tag >100 guests, note it in a calendar or internal Slack so the team knows.

    Connection to campaigns Once you've bulk tagged a group, you can immediately create a campaign that filters on the new tag. Perfect workflow: bulk tag 200 guests as "Wine tasting interest" → create campaign → send SMS.
