Tags – Categorize Your Guests
Tags are Vendion's most important categorization tool for guests. They answer the question "who is this guest?" in a way that can be used in segments, campaigns, and automations. Think of tags as labels you put on a guest — "VIP", "Wine lover", "Corporate", "Gluten allergy" — that you can then filter on.
Two kinds of tags

Both types can be used in segments, campaigns, and automations the same way.
Manage tags
- Go to Marketing → Guests → Tags
- You'll see all existing tags, their color, icon, and how many guests have each tag
Create a manual tag
- Click Add tag in the top right
- Enter a name — try to be specific: "Wine lover" beats "Food"
- Pick an icon (emoji) — 💎 for VIP, 🍷 for Wine lover, 🏢 for Corporate
- Pick a color — used as a badge in the guest profile and lists
- Save
Tag colors — use them strategically
Colors are visual shortcuts. We recommend a color logic:
- Red (#E74C3C) — warnings and allergies: "Nut allergy", "Gluten intolerant"
- Gold (#C5A059) or purple (#9B59B6) — exclusivity: "VIP", "Premium"
- Green (#2ECC71) — positive traits: "Regular", "Loyal"
- Blue (#3498DB) — fact/category: "Corporate", "Wine lover"
- Orange (#F39C12) — attention: "Birthday", "Event guest"
When staff open a profile, they should be able to decode the colors in 1 second. Don't use gold for everything — it loses meaning.
Assign a tag — two ways
1. In the guest profile (one guest at a time):
- Open Marketing → Guests → [choose guest]
- Scroll to the Tags section
- Click + and pick tags from the list
- System saves instantly — no separate save button
2. Bulk tagging (many guests at once):
- Go to Marketing → Guests
- Use search filters first (e.g. "Total spend ≥ 3000 SEK")
- Select multiple guests with the checkboxes
- Click Tag in the toolbar
- Choose tags to add or remove
- Confirm
Auto-tags — the system computes them
Every night, the system evaluates whether each guest should gain or lose an auto-tag. The 9 preset rules:

Auto-tags show in the guest profile but can't be edited manually — the system recalculates them nightly based on visit and spending data. If a guest crosses 5 visits during the day, "Regular" appears first thing the next morning.
You can create your own auto-tags via Marketing → Guests → Tags → Create auto-tag. The rule is entered in the form (e.g. "avg spend ≥ 1,200 SEK" for "Super spender").
Tags in segments and campaigns
This is where tags become powerful:
- Segment filter: "Has tag: VIP" + "Has tag: Wine lover" = target group for new wine list campaign
- Campaign filter: When creating a campaign, add extra tag filters on top of the segment
- Automations: "Trigger: tag added = VIP" → automatic welcome package
Best practices
- Fewer tags is better — 10 well-used tags beat 50 half-full ones. Clean up regularly (remove tags with < 5 guests).
- Be specific — "Wine lover" > "Food". "Nut allergy" > "Allergy".
- Don't double up — don't use both "Regular" (manual) and "Regular" (auto). Pick one.
- Allergies as tags — used as warnings at the till and by waiters via Waiter Intel.
- Clean up outdated tags — if you have a "Black Week 2024" tag, remove it when the campaign is over.
- Name consistently — "VIP" or "Vip"? Pick one and stick to it. The system is case-sensitive on create but matches case-insensitively.
Common tagging mistakes
- Too many similar tags ("Good customer", "Nice guest", "Returning") → pick one
- Forgetting to remove test tags → clutters the list
- Creating a tag instead of a segment ("Spend > 5000") → auto-tag or segment is the right tool
- Using tags as status updates ("Called yesterday") → that belongs in notes, not a tag
