Let Someone Run Staff News Without Seeing Payroll

Staff communication does not have to sit with you. But until recently delegating it cost too much: whoever was to write the news needed access to the staff module, and that meant they also saw schedules, time reports, the staff register and the payroll.

That is no longer the case. Meddelanden (messages) is its own tab with its own permission requirement. That means you can give one person exactly one thing: the right to talk to the team.

What that person actually sees

If you give someone only the permission Publicera och hantera nyheter (publish and manage news), they enter the staff module and see only the Meddelanden tab. The other tabs are not shown at all – they require schedule or payroll permissions, and someone with neither is not offered them.

So the person does not see what colleagues earn, who worked how much, or the staff register with phone numbers and employment details.

How to grant the permission

1. Go to Allmänt ▸ Användare ▸ Behörighetsgrupper (general, users, permission groups)
2. Create a group, for example "Staff communication", or open an existing one
3. Tick Publicera och hantera nyheter
4. If the person should also be able to remove inappropriate comments – tick Moderera kommentarer
5. Save, and assign the group to the right person under Användare

Do not add schedule or payroll permissions to the same group if the point is to keep them away from pay. It is exactly that combination that opens the other tabs.

Who it suits

The sous chef or head chef who needs to reach the kitchen with routines and menu changes without having anything to do with scheduling.

A floor manager or shift lead who informs the team about the day but should not see what colleagues earn.

Whoever holds the staff group together in a larger restaurant – someone needs to write about big holidays, staff parties and new routines, and it does not have to be you.

Worth knowing

The permission goes all the way. The person can publish, choose recipients, pin posts, edit and delete them, and resend notifications – everything described in the staff news article.

SMS costs money even when someone else presses the button. The channel choice is made per post, and SMS is charged per SMS part and recipient. Walk through the routine with the person once and you avoid surprises on the invoice – the cost is shown in the form before they publish.

Moderation is a separate permission. Without Moderera kommentarer the person can write posts and read the comments, but not remove an individual comment. If you choose not to grant it, it is better to turn off comments on posts than to leave a thread with nobody able to clean it up.

Administrators see everything anyway. If the person belongs to an administrator group the individual ticks make no difference – administrators have full access to the whole module.
