    Adding a New Staff Member

    2 min read#2

Add staff and create their profile. Everything happens via an Add staff button – if you enter an email, the person also gets an invitation to log in.

    Create a staff profile (recommended):

    1. Go to Staff → Staff
    2. Click Add staff
    3. Fill in Basic details:
      • First and last name
      • Email (the person gets an invitation to log in to admin/the staff portal)
      • Phone
      • Personal identity number (required in the staff register)
      • Employment number (carried into the payroll data)
    4. Fill in Employment:
      • Role (e.g. Chef, Waiter, Bartender)
      • Employment type: Permanent, fixed-term or hourly
      • Salary type: Monthly salary or hourly rate
      • Salary (SEK/month or SEK/hour)
      • Employment rate (1–100%)
      • Employment start date (and end date for fixed-term)
    5. Choose Skills: Kitchen, Bar, Floor, Dishwashing, POS (can have multiple)
    6. Enter Bank account for salary payments
    7. Click Add

The employee receives an email with a link to create their login.

    Quick add (POS/PIN only):

Just need to give someone a PIN for the register?

    1. Go to Users
    2. Click Add staff
    3. Enter name and personal identity number and choose a permission group
    4. A PIN (4 digits) is generated automatically – reroll it with the refresh icon if needed
    5. Leave email empty for a pure POS user, or fill it in to also send a login invitation
    6. Click Add staff

Access: What a person is allowed to do is controlled by their permission group (e.g. Staff for limited access or the admin group for full access) – permission groups are managed under Users → Permission Groups.

Tip: Does someone already have a login but no staff profile? The onboarding wizard in Staff → Staff helps you link them.
