    Receive Catering Inquiries

    On the inquiry page the guest describes their occasion, and the inquiry lands as a ready-made order in Catering. No menu to send, no form to build.

    Choose what the guest is asked:

    1. Open Admin → Catering → Inställningar (Settings)
    2. Under Förfrågningar (Inquiries): turn on Ta emot cateringförfrågningar (Receive catering inquiries, on by default) and optionally write a Text överst på formuläret (Text at the top of the form)
    3. Under Förfrågningssidan (The inquiry page): choose which questions to include:
      • Tid (Time)
      • Plats och adress (Place and address – shown for delivery and on-site service)
      • Företagsuppgifter (Company details – private or company, company name, org. number and reference)
      • Specialkost (Dietary needs) – choose which kinds the guest can give numbers for, and whether Fritext om specialkost och allergier (Free text about dietary needs and allergies) is included
      • Meddelande (Message)
    4. Turn on Visa cateringartiklar (Show catering items) if the guest should be able to choose from items marked "Säljs i catering", with preliminary prices
    5. Click Spara (Save). Visa förfrågningssidan (Show the inquiry page) shows the page as the guest sees it

    Contact details (name, mobile number and email), type of occasion, date, number of people and fulfilment method are always asked.

    Share the inquiry page: Under Catering → Dela & länk (Share & link) you'll find the link to the page, a QR code to download and code for embedding the form directly on your website. Suggested button text: "Skicka cateringförfrågan" (Send a catering inquiry). The link requires the restaurant to have a web address (URL slug) under Allmänt (General).     If inquiries are switched off, the page only shows your contact details.

    What the guest gets: After sending, the guest sees a thank-you message with a reference number and receives a copy of the inquiry by email. The guest is added to your guest register.

    What you get:

    • An email with the button Öppna förfrågan (Open inquiry), to the addresses under Inställningar → Notiser (Settings → Notifications). If the list is empty, it goes to the restaurant's email, and if that is missing, to the restaurant's administrators. Replying to the email reaches the guest
    • A notification in the admin notification bell
    • The inquiry in the Förfrågningar (Inquiries) tab, with the number of new ones on the tab

    Reply to an inquiry:

    1. Open Catering → Förfrågningar (Inquiries) and click the inquiry
    2. The order opens with the guest's details filled in. The box at the top shows the occasion, dietary needs and the guest's message
    3. Choose one:
      • Skapa offert (Create quote): add contents and prices, save and click Skicka offert (Send quote) under Dokument (Documents). See Send a Quote and Get the Customer's Approval
      • Avböj förfrågan (Decline inquiry): choose a reason (Fullbokat den dagen – fully booked that day, Kan inte leverera till adressen – can't deliver to the address, För kort varsel – too short notice) or write your own. The guest gets your answer by email

    Good to know:

    • Company details the guest entered are stored as text under Kundens önskemål (Customer requests). If you're going to invoice, choose the company with Välj företag (Choose company) under Kund (Customer)
    • Items the guest chose become lines in the order. The prices were preliminary, so check them before sending the quote
    • You can also mark the order as confirmed directly if you agree by phone
    • Orders from the order page also land under Förfrågningar (Inquiries), labelled Faktura (Invoice) and Offert önskas (Quote requested). See Receive Catering Orders Online
