Profit centres in the accounts
Categories and articles
Profit centres (resultatenheter) are the accounting's cost centres. If you have, say, a bistro and a bar under one roof, sales can be recorded per unit. The settings are under Bokföring → Verifikat & export → Resultatenheter (Accounting → Vouchers & export → Profit centres).
Add the units
- Under Hantera resultatenheter (Manage profit centres), enter Namn (Name) and Kod (Code) (for example Bar and BAR). Konto (Account) is optional and is used by the Personal module's payroll export.
- Click Lägg till (Add).
The code identifies the unit in the accounts and appears as dimension 1 in the SIE file. The list is the same as the Personal module's cost centres, so revenue and staff costs meet per unit. A unit that is in use cannot be deleted; switch off Aktiv (Active) instead.
Switch on profit centres on sales
The toggle Stämpla nya ordrar med kassans aktiva resultatenhet (Stamp new orders with the POS's active profit centre) is off from the start. To switch it on, at least one unit must be active, and all active units need a code.
Then link each POS to a unit: Enheter → Kassor (Devices → POS terminals), choose the POS, the tab Enheten (Device) and Resultatenhet för denna kassa (Profit centre for this POS) under Standardval (Defaults). The default is Ingen (ej tilldelad) (None (not assigned)). New bills on the POS get the POS's unit. The POS's top row has a button with the unit's name (or Ej tilldelad (Not assigned)). Tap it and choose a unit in the Byt resultatenhet (Change profit centre) panel; the change applies to new bills. If the person lacks the permission to change profit centre, a manager PIN is required.
In the accounts
With the toggle on, the Z voucher's revenue lines are split per profit centre, and the code follows into the SIE file. Payment and VAT lines get no unit. If Skicka kassafakturor till Fortnox (Send POS invoices to Fortnox) is on, the Z voucher is not split on days with invoiced sales.
If the whole restaurant is to be recorded on a single cost centre, choose the unit under Bokför hela verifikatet på en enhet (Record the whole voucher on one unit). All lines in the daily closing and card acquiring vouchers then get that unit's code. The default is Ingen (av) (None (off)).
What goes to Fortnox is the Fortnox cost centre you have linked the unit to, under Integrationer → Fortnox → Hantera (Integrations → Fortnox → Manage), tab Bokföring (Accounting), section Kostnadsställen (Cost centres), which is shown when profit centres are used. A unit that is not linked is recorded in Fortnox without a cost centre. See Direct Fortnox integration.

With the Integration module, you connect Fortnox under Integrationer. Daily closing and card acquiring vouchers are then sent automatically. How to connect, what is sent and what to do when something has not arrived.
The SIE file – what is it?
SIE is the Swedish standard format for moving accounting data between programs. Vendion's SIE file is type 4 and contains the vouchers: daily closings, card acquiring, chain settlement and expired gift cards.
Export SIE from Vendion – step by step
Download the accounting file for your accountant: one month under Periodrapport, the whole financial year under Verifikat, or a single Z-report under X/Z-rapporter.
