QR codes per table let the guest scan and start ordering directly – and the order is automatically linked to the right table in the POS. This guide shows how to generate, download, print, and place QR codes for all your tables.
Why QR per table?
When the guest scans a table-specific QR:
- The order is automatically linked to table "5" or "Fondue table"
- The kitchen clearly sees which table the food goes to
- No manual table registration needed
- Multiple parties can order in parallel from different tables without confusion
Step 1: Create tables in admin
- Go to Admin → Settings → Tables
- Click Add table
- Enter:
- Table number (e.g., "1", "12", "A3")
- Name (optional, e.g., "Fondue table", "Terrace")
- Number of seats (e.g., 4)
- Click Save
The system automatically generates a unique QR code for each table used in the link.
Step 2: Download QR code per table
In the table list, you'll find a QR icon next to each table:
- Click the QR icon
- Preview of the QR code is shown
- Click Download PNG
- File is saved as
chatorder-qr-<slug>-table-<nr>.png
The QR code opens your ordering link with the specific table preselected.
Step 3: Design and print
Recommended size
- At least 3×3 cm to scan from normal distance
- 5×5 cm recommended for table cards at table level
- 7×7 cm or larger for posters in the window or at entrance
Design options
Simple table sign (recommended):
- White background with QR code in the middle
- Table number above (large, clear)
- Restaurant logo in the corner
- Text: "Scan to order"
Premium table card:
- Laminated paper or acrylic
- Double-sided tape or holder
- Matches the restaurant's interior
- Canva – easy templates to embed QR + logo
- Figma – for more control over layout
- Print shops – Vistaprint, Ageras, or local print shops for bulk printing
Step 4: Place QR codes
On the table
- Table corner – most visible, easiest to scan
- Table center – on a standing holder
- Napkin menu holder – if you already have physical menus
Other placements
- Window poster – for takeaway guests
- Bar counter – for solo diners
- At the entrance – for queues at the door
- In the restroom – surprisingly effective for impulse orders
Step 5: Test every QR
Before opening for guests:
- Scan each QR with your own phone
- Verify the correct table number shows in the chat
- Order a test product
- Verify the order lands at the right table in the POS
Common questions
Can I change the QR code later?
No. The QR code is permanently linked to the table. If you recreate the table, a new QR is generated – the old one stops working.
What happens if the same QR is scanned by multiple guests at once?
Each scan creates a new order linked to the same table. The kitchen sees both orders separately and can choose to merge them in the POS.
Can I use the same QR for takeaway?
No – table QR is specific for dine-in. For takeaway use a general QR without table selection or the direct link to your restaurant's ordering page.
What happens if I move a table?
Print a new QR with the new table number. Old QRs still work but show the old table number.
Bulk printing – template
If you have 20+ tables, save time by:
- Exporting all QR PNGs to a folder
- Importing them to Canva/Figma as a grid (e.g., 4×5 table cards per A4)
- Printing on label paper or card stock
- Cutting out and laminating
Tips from experienced restaurateurs
- Be consistent – same design on all tables gives a professional impression
- Write clear instructions – "Scan with the camera" helps guests who don't know how
- Test lighting conditions – glossy paper can reflect and make scanning harder
- Replace worn cards – scratches on the QR code can make it unreadable
