    Reduce restaurant no-shows in 2026 with clearer booking routines

    How can restaurants reduce no-shows and late cancellations?

    Make reservations clear, send a reminder before the visit and make cancellation easy. Track no-shows by service and party size. Prepayments or cancellation fees may suit some bookings, but require clear terms and a payment workflow that supports them.

    An empty reserved table affects the evening’s plans. Food may already be prepared and extra staff may be working. Guests also need a way to change their plans. A good routine makes it easy to tell the restaurant in time.

    Start with the right measures

    Distinguish between cancellations before your deadline, late cancellations and guests who do not arrive or contact you. Record whether another party filled the table. Otherwise, reports can overstate the financial effect.

    Hypothetical example: a table of four with an expected average bill of SEK 800 per person represents SEK 3,200 in potential sales including VAT. Three such tables a week over four weeks represent SEK 38,400. This is not lost profit: allow for costs avoided and any replacement guests. Do not add labour and ingredient costs again if they are already included in your profit calculation.

    Make the confirmation useful

    Show the date, time, party size, restaurant address and how to change or cancel. If the table has a time limit, explain it before the guest completes the reservation.

    Send a reminder before your cancellation deadline. A booking-management link is more useful than asking guests to telephone while the restaurant is closed. Test the message on a phone: does the link work, and does the change appear in the restaurant’s booking view?

    A reminder does not guarantee attendance. Follow up on delivery failures and contact details that need correcting.

    Match terms to the booking

    A large party with a preordered menu may involve different preparation from a table for two. If you charge a cancellation fee, show the terms and amount clearly during booking.     Keep three concepts separate: a prepayment is a completed payment, a card authorisation reserves funds, and a cancellation fee is a charge under the booking terms. Each needs a different process. Check support, refunds and settlement before offering them. Never store card details in free-text booking notes.

    Plan for tables that become available

    Assign someone to contact late parties and decide when a table can be offered again. A waiting list needs the preferred time and party size so offers suit the guest and table. Also decide how long an offer remains valid.

    Evaluate without blaming guests

    Compare similar weekdays and party sizes. Track no-shows, refilled tables and the proportion of guests completing a booking. Stricter terms can also affect willingness to book, so aim for a workable balance between planning and accessibility.
