POS for bars and nightclubs: fast orders and clear reconciliation

Bar staff need to register the correct drink while staying engaged with the guest. After closing, the same system should help explain sales, payments and corrections. Test both parts when choosing a POS.

Build the screen around the bar menu

Give common drinks clear names and positions. Distinguish glasses, bottles, sizes and alcohol-free options so the same product is not recorded inconsistently. Even a bar menu can have important modifiers and variants; simplify navigation without losing needed precision.

Test readability in the venue’s actual lighting. Also test user changes and transfers between tills. A shift change should not make an open tab difficult to find.

Distinguish an open tab from a card authorisation

An open tab collects orders for later payment. It does not automatically mean funds have been reserved on the guest’s card. Pre-authorisation and subsequent charging are separate payment functions requiring support and appropriate agreements.

Ask the vendor to demonstrate opening, identifying, splitting and closing a tab. Test a declined payment, partial payment and incorrectly entered item. Decide which roles can correct or refund transactions and how reasons are recorded.

Put order points where they help

Multiple tills can distribute order-taking. Check how they share current tab information and what devices and terminals are required. All devices still depend on their network and payment setup; Vendion requires internet.

A KDS can be useful without food preparation, for example when drink orders from table service need collecting and prioritising at the bar. A kitchen or bar printer is another option. Choose according to workflow and who marks an order ready.

Digital alcohol ordering still requires supervision

QR ordering or a self-service kiosk can add an ordering route. It does not replace checks when serving. Under Swedish alcohol law, the minimum age for alcohol service is 18, and alcohol must not be supplied to someone visibly intoxicated. Responsible staff must also maintain moderation, order and sobriety. See chapters 3 and 8 of the Alcohol Act.

A click or completed payment therefore does not, by itself, entitle someone to be served alcohol. Decide how staff can stop handover and deal with payment when service must be refused.

Count stock to understand beverage usage

Sales records show registered products. Actual consumption also requires opening stock, purchases, closing stock and relevant transfers. Compare this with standard measures and recorded spillage.

In a hypothetical example, 5 litres at opening plus 3 litres received minus 4 litres remaining equals 4 litres used. If recorded servings account for 3.6 litres, the 0.4-litre difference needs investigation. Measurement, spillage, recipes or recording may explain it; it does not prove theft.

POS data alone does not identify which bartender caused ingredient losses. Keep observations separate from conclusions.

Reconcile the whole evening

Define the sales period when a shift crosses midnight. Reconcile open tabs, payments, refunds and tips separately. A card payout on a later date need not equal the same evening’s sales.
